Job Description

Heritage Johnstown is seeking an organized, energetic, and customer-focused Director of Rentals & Sales to oversee the sales, coordination, and successful execution of events at our historic venues. This is a full-time position that requires flexibility, including evening and weekend work based on event schedules. The starting pay rate is $17.00 per hour, with PTO and paid holidays. Health benefits are available. This position reports directly to the Chief Operating Officer. Position Summary The Director of Rentals & Sales is responsible for managing the full rental process—from initial inquiry and sales through event execution, billing, and settlement. This position serves as the primary point of contact for rental clients and works closely with Heritage Johnstown staff, vendors, caterers, bartenders, and other service providers to ensure events are professionally planned and successfully executed. The ideal candidate is highly organized, personable, detail-oriented, comfortable working in a fast-paced environment, and able to balance customer service with the operational and financial needs of the organization. Key Responsibilities Sales & Event Coordination Market Heritage Johnstown's venues and rental opportunities to individuals, organizations, businesses, and community groups. Respond to rental inquiries, conduct venue tours, develop estimates, and convert inquiries into bookings. Prepare and manage event contracts, budgets, estimates, license agreements, invoices, final billing/settlements, and related reports. Serve as the primary liaison for rental clients from initial booking through event completion. Work directly with clients to develop event layouts, schedules, logistical plans, and venue needs. Coordinate event setup, staffing, vendor access, event logistics, and breakdown. Ensure all rental events comply with Heritage Johnstown policies, procedures, contracts, and facility requirements. Coordinate with external vendors and service providers, including caterers, entertainment providers, rental companies, and other event professionals. Develop and maintain strong relationships with vendors and community partners who contribute to successful events. Venue & Event Operations Take responsibility for the operational and financial success of rental events. Coordinate staffing assignments and directly supervise bartenders and other event staff as appropriate. Maintain accurate alcohol inventory and oversee the purchase, storage, and management of alcohol for events. Maintain compliance with applicable Pennsylvania Liquor Control Board requirements and maintain RAMP certification as a manager or obtain certification within the required timeframe. Conduct event walkthroughs and monitor events to ensure proper use of facilities and adherence to venue policies. Address client, vendor, staffing, and operational issues that arise before and during events. Work collaboratively with Heritage Johnstown staff to coordinate internal events and organizational activities. Assist with maintaining the appearance, readiness, and overall presentation of rental spaces. Perform other duties as assigned. Education A degree in business, hospitality, event management, marketing, communications, or a related field is preferred. Equivalent professional experience may be considered in lieu of a degree. Work Experience Minimum of two years of professional experience in business, event planning, hospitality, conferences, customer service, sales, venue management, or a related field. Experience with event coordination, venue rentals, sales, hospitality, or alcohol service is preferred. Supervisory experience is a plus. Ability to work a flexible schedule, including evenings, weekends, and holidays as required by the event calendar. Ability to lift and carry up to 35 pounds. Valid driver's license and reliable personal transportation.
