PRIMARY FUNCTION
Under the direct supervision of the Site Director, the Membership Clerk is primarily responsible for ensuring that all Boys & Girls Club of San Marcos members and guests adhere to registration protocols daily. The Membership Clerk is also responsible for maintaining a well-organized front counter and reception area along with maintaining and updating membership records and ensuring accurate and timely collection of membership dues and other fees.
FRONT DESK OPERATIONS
Answer phone promptly and direct calls or take messages as needed. Provide accurate, appropriate, and immediate responses to everyone who enters and calls the front counter, ensuring guest satisfaction. Maintain knowledge of and provide detailed descriptions of Club services, programs, facility features and hours of operations. Issue and collect membership forms, collect membership dues, and issue membership cards. Maintain current membership records for all members. Effectively use and work in the MyClubHub (MCH)
- Membership Tracking System to enter new memberships; enter program attendance daily; run reports.
Facilitate member sign in/out:
Ensure that every member who is attending the program is being scanned in upon arrival and signed out upon departure using their membership card. Perform accounting activities including handling, changing, receipting, and counting of all forms of currency. Able to be productive without constant direct supervision and remain at assigned post for extended periods. Implement and enforce all Club rules and policies with members, staff, and guests. Dress in appropriate attire/uniform at all times.
ADMINISTRATIVE
Demonstrate responsibility with work schedule, meetings, and trainings; participate in special programs and/or events. Ensure all office equipment is in proper working order. Ensure a team-based work environment by communicating effectively and positively with Site Directors, Site Coordinators, Youth Development Professionals and Volunteers. Maintain staff and member confidentiality; make recommendations regarding members' needs, program ideas, and facility needs. Assist Site Director with responsibilities as needed. Perform miscellaneous tasks requested by supervisor and other duties as assigned.
COMMUNICATION
Must be able to inform important and relevant information in Staff Meetings and to members, parents, co-workers, Program Coordinator, Site Director, and other Boys & Girls Club affiliates. Must be able to listen to co-workers, parents, youth members and community and other Boys & Girls Club affiliates. Must be able to present important and relevant information and/or presentations through program facilitation, staff meetings or training, and/or other Boys & Girls Club events. Must be able to write and compose clear, concise, accurate written documentation and data reports. Bilingual (Spanish) skills may be used frequently and are highly valuable.
SUPERVISION & SAFETY
Greet and identify all individuals who enter the building. Provide supervision to youth members as needed. Ensure all membership documents are accessible during a Club evacuation. Retrieve membership documents in an emergency. Provide sound and reasonable discipline of youth members at necessary times through written documentation (i.e., write-up), parent phone call. Practice and maintain awareness of safe practices like Crisis Management, Emergency Preparedness, CPR and First Aid, etc. Maintain a clean, safe, and orderly workspace at all times. Able to identify and react safely to potential hazards, emergency situations, and crisis situations.
QUALIFICATIONS
Skills/Knowledge Must be at least 18 years of age and have valid identification. Knowledge of basic youth development, the Boys & Girls Club movement, or similar concepts. Ability to organize, supervise, and discipline youth members safely. Education High School Diploma or GED required. Work experience with a Boys & Girls Club or other youth serving organization. Must meet the requirements of an Instructional Aid in the San Marcos Unified School District [The options to fulfill this requirement are an associate's degree or higher OR Completion of 48 college units OR a passing score on the
CBEST OR
a passing score on a basic skills proficiency test with either BGCSM or SMUSD.]

Physical Requirements/Work Environment Maintain a high energy level. Be comfortable performing multi-faceted projects in conjunction with day-to-day activities. Speak clearly and hear normal conversations as well as out of the ordinary noises. Sit or stand for four plus hours per day. Stoop, bend, climb, and walk frequently.
