POSITION SUMMARY
The Boys & Girls Club of the Lower Naugatuck Valley is seeking an enthusiastic, organized, and community-minded Membership Coordinator to serve as a welcoming face of the Club and play a key role in growing and strengthening Club membership. The Membership Coordinator is responsible for supporting the day-to-day membership experience, from welcoming prospective and current families to processing registrations, maintaining accurate membership records, communicating with families, supporting membership recruitment and retention efforts and helping ensure that every member feels welcomed, valued and connected to the Club. This position works in a fast-paced, youth-centered environment and requires exceptional customer service, communication, organization, attention to detail and the ability to build positive relationships with youth, families, staff and community members. The ideal candidate understands that membership is more than a registration it is a relationship. This position helps families understand the value of the Boys & Girls Club and connects youth to a safe place, caring adults and life-enhancing programs.
ESSENTIAL RESPONSIBILITIES
Membership Recruitment & Retention Support the recruitment, enrollment and retention of Club members. Serve as a primary point of contact for prospective and current members and their families. Conduct membership tours and provide prospective families with information about Club programs, services, schedules, policies and benefits. Follow up with prospective families and assist in converting inquiries into memberships. Develop positive relationships with members and families to encourage continued participation. Support membership campaigns, enrollment initiatives, open houses and other recruitment activities. Identify opportunities to increase membership participation and retention. Promote the Club's programs, events, activities and membership benefits. Family & Member Engagement Create a warm, welcoming and inclusive environment for every youth and family entering the Club. Build strong relationships with parents, guardians, members and community partners. Respond to questions, concerns and feedback in a professional and timely manner. Help families navigate registration, program enrollment, payments, schedules and Club policies. Communicate important Club information to families through email, phone, in-person interactions and other approved communication channels. Serve as an advocate for a positive member experience. Membership Administration & Database Management Process new and returning member registrations accurately and efficiently. Maintain accurate and up-to-date membership records and documentation. Enter and maintain membership, attendance, program enrollment and other required information in the Club's database. Process membership dues, program fees, payments and receipts according to established procedures. Monitor membership records for completeness and follow up on missing information or documentation. Prepare membership reports, statistics and other information as requested. Maintain confidentiality of member and family information. Follow all Club, Boys & Girls Clubs of America and applicable state licensing requirements related to membership records and youth services. Front Desk & Clubhouse Operations Oversee the Club's front desk and lobby area, creating a professional, organized and welcoming first impression. Answer phones, respond to general inquiries, greet visitors and direct questions to the appropriate staff member. Monitor the entrance and exit of members, families, visitors and vendors in accordance with Club safety procedures. Ensure front desk procedures are consistently followed. Maintain an organized membership area and ensure necessary forms and informational materials are available. Support the daily operations of the Clubhouse as needed. Youth Development & Club Culture Develop positive and appropriate relationships with Club members and serve as a positive role model. Interact with youth in a manner that supports the Club's mission and Youth Development Outcomes. Support a safe, inclusive, respectful and welcoming environment for all members. Assist with Club activities and programs when appropriate. Follow all Boys & Girls Club safety, child protection, emergency, and supervision policies. Report suspected abuse, neglect, safety concerns, or other incidents in accordance with Club policy and applicable law. Maintain appropriate professional boundaries with youth at all times.
QUALIFICATIONS
Required:
High school diploma or GED. Excellent verbal and written communication skills. Strong customer service and interpersonal skills. Excellent organizational and time-management abilities. Strong attention to detail and accuracy. Ability to work effectively in a busy, youth-centered environment. Ability to interact professionally and positively with youth, families, staff, volunteers and community members. Basic computer proficiency and ability to learn membership/database systems. Commitment to the mission and values of the Boys & Girls Club.
Preferred:
Associate's or bachelor's degree in business, communications, education, recreation, human services, nonprofit management or a related field. Previous experience in customer service, membership services, childcare, youth development, recreation, nonprofit organizations or a similar environment. Experience with membership databases, registration systems or CRM platforms. Experience with membership recruitment, community outreach or family engagement.

PHYSICAL & WORK ENVIRONMENT
This position operates primarily within a busy Boys & Girls Club environment and requires regular interaction with youth, families, staff, and visitors. The employee may be required to sit, stand, walk, bend, lift or move materials and participate in Club activities as needed. The position may require occasional evening hours, weekends or extended hours for special events, membership campaigns, registration periods or other Club activities.
