Job Description

Office & Membership Coordinator Position Summary The Office & Membership Coordinator is responsible for providing administrative support while coordinating the club's membership experience from initial inquiry through onboarding. This position also manages member billing and account maintenance, assists with member communications, and supports the Club Manager with the daily operations of the club. The ideal candidate is highly organized, detail-oriented, personable, and committed to delivering exceptional member service. The successful candidate will possess excellent oral and written communication skills, strong interpersonal abilities, and the ability to build positive relationships with members, prospective members, and staff while representing the club in a professional manner. Employment is contingent upon successfully passing a comprehensive background check. Essential Duties & Responsibilities Office Administration Serve as the first point of contact for members, guests and prospective members. Answer and direct incoming phone calls, emails, and inquiries in a professional and friendly manner. Maintain organized office files, records, and confidential documents. Order and manage office supplies. Assist the Club Manager with administrative projects and daily office operations. Coordinate incoming and outgoing mail and maintain an organized office environment. Membership Coordination Serve as the primary contact for prospective members and respond promptly to membership inquiries. Schedule and conduct club tours for prospective members. Explain membership categories, benefits, pricing, and club policies. Guide applicants through the membership application and Board approval process. Coordinate new member onboarding, welcome materials, and orientations. Maintain accurate membership records and databases. Build relationships with members to promote engagement and retention. Assist in planning and executing membership recruitment events, open houses, and promotional initiatives. Welcome new members and help introduce them to the club and its amenities. Member Billing & Account Management Prepare and process monthly member statements. Post member payments, including cash, checks, credit cards, and ACH transactions. Maintain accurate member account records. Process membership dues, initiation fees, assessments, and other member charges. Respond to member billing questions and resolve account discrepancies. Work closely with accounting to ensure accurate financial records and reporting. Maintain confidentiality of all member and financial information. Member Communications & Marketing Support Assist with the preparation and distribution of member newsletters, emails, and club announcements. Maintain and update the club calendar with events, dining hours, golf events, and member activities. Help create and coordinate member communications to promote club events, programs, and amenities. You must have experience with creating marketing documents and flyers. Assist with website updates and social media content as needed. Support the planning and promotion of club events and member engagement initiatives. Member Service Deliver exceptional customer service to members, guests, and prospective members. Respond promptly and professionally to member questions and requests. Foster a welcoming, positive, and service-oriented environment throughout the club. Perform other duties as assigned to support the successful operation of the club. Qualifications High school diploma required; associate's or bachelor's degree in business, Hospitality, Communications, Accounting or a related field preferred. Two or more years of experience in office administration, customer service, membership services, or hospitality. Strong organizational and multitasking skills with exceptional attention to detail. Excellent written and verbal communication skills. Proficiency in Microsoft Office (Word, Excel, Outlook), Canva; experience with club management software is a plus. Ability to maintain confidentiality and exercise sound judgment. Friendly, professional, and service-oriented with a positive attitude. Schedule This is a full-time position. Occasional evenings, weekends, and holidays may be required to support club events, membership functions. Office hours required are Monday to Friday 9:30am-5pm.
