Job Description
Director of Membership & Communication Plum Hollow Country Club Position Summary The Director of Membership & Communication is responsible for leading all aspects of membership growth, retention, engagement, communications, and marketing for Plum Hollow Country Club. This individual serves as the primary steward of the membership experience, guiding prospective members through the admissions process while fostering meaningful engagement and long-term satisfaction among existing members. The Director develops and executes strategic initiatives that support the Club's membership goals, strengthen member participation, enhance communications, and promote the Club's brand and reputation. Working closely with the General Manager/COO, Board of Directors, Membership Committee, and Department Leaders, this position helps ensure the Club maintains a healthy membership pipeline, strong retention rates, and an exceptional member experience. This role also serves as the Club's primary administrator for membership data, reporting, and member communications through Clubessential and other technology platforms, utilizing analytics and member feedback to drive informed decision-making and continuous improvement. Essential Duties & Responsibilities Membership Growth & Recruitment Develop and execute strategies to attract qualified prospective members who align with the Club's culture and membership objectives. Manage the membership pipeline from inquiry through onboarding, ensuring a professional and personalized experience. Maintain relationships with prospective members and sponsors throughout the admissions process. Coordinate and support Membership Committee activities, candidate introductions, and membership events. Monitor membership composition, utilization trends, and category growth opportunities. Assist in achieving annual membership goals established by Club leadership and the Board. Member Retention & Engagement Develop programs and initiatives that promote member engagement and strengthen connections to the Club. Monitor member satisfaction through surveys, feedback, usage trends, and direct interaction. Identify at-risk members and implement proactive retention strategies. Collaborate with department heads to enhance member experiences across golf, dining, racquets, aquatics, fitness, and social activities. Lead new member onboarding and orientation programs. Coordinate member recognition and milestone programs. Marketing & Communications Oversee all membership-related communications, ensuring consistency with the Club's brand and standards. Manage the Club's communication platforms, including email marketing, website content, mobile app content, newsletters, and social media channels. Develop marketing campaigns supporting membership recruitment, club events, dining initiatives, and member engagement. Partner with Department Heads to promote Club programs, events, and amenities. Maintain brand standards across all member-facing materials. Membership Analytics & Reporting Maintain accurate membership records and reporting through Clubessential and other Club systems. Prepare monthly membership reports for the General Manager, Board of Directors, and Membership Committee. Track membership trends, inquiries, conversions, resignations, utilization patterns, and demographic data. Provide strategic recommendations based on data analysis and industry trends. Monitor key performance indicators related to membership recruitment, retention, engagement, and revenue generation. Financial Management & Administration Assist in developing and managing the Membership & Communication Department budget. Monitor initiation fee revenue, membership activity, and membership-related financial performance. Support forecasting and long-term membership planning. Ensure membership policies, procedures, and documentation remain current and compliant with Club bylaws and governance requirements. Coordinate membership correspondence, records management, and committee materials. Leadership & Collaboration Serve as a visible and active presence throughout the Club, building relationships with Members, Department Heads and all other team members of the Club. Directly supervise the Receptionist, providing leadership, training, and performance oversight. The Receptionist serves as a key support resource to the Director of Membership & Communication, assisting with membership administration, prospective member inquiries, member communications, and marketing initiatives.. Collaborate with all departments to ensure a seamless and consistent member experience. Support Club leadership initiatives and strategic planning efforts. Attend Board, committee, and membership-related meetings as requested. Promote a culture of service excellence, professionalism, and continuous improvement. Qualifications Education & Experience Bachelor's degree preferred. Member of the CMAA (Club Manager's Association of America) and/or member of the PGA of America (Professional Golfers' Association of America) is a bonus Minimum of two years of progressive experience in private club management, membership sales, hospitality, marketing, customer relationship management, or a related field. Experience in a private club environment strongly preferred. Knowledge, Skills & Abilities Membership & Club Operations Strong understanding of private club operations, membership structures, governance, and member engagement strategies. Knowledge of membership recruitment, onboarding, retention, and relationship management. Technology & Analytics Proficiency in Microsoft Office Suite, including advanced Excel skills. Ability to analyze data and translate findings into actionable recommendations. Communication & Marketing Exceptional written and verbal communication skills. Experience developing professional communications, newsletters, presentations, and marketing campaigns. experience with marketing and graphic design platforms such as Canva, Adobe Creative Suite, Constant Contact, Mailchimp, and other digital marketing tools strongly preferred. Leadership & Relationship Building Strong interpersonal skills with the ability to connect with members, prospective members, Board members, and staff. Demonstrated ability to build trust, maintain confidentiality, and represent the Club professionally. Self-motivated with excellent organizational and project management skills.
