The District Clerk position is a key part of these efforts, helping ensure smooth daily operations and effective communication across the district.

•Job Overview We are seeking a highly organized and detail-oriented Member Services Specialist to support daily HQ operations. This role is essential to maintaining accurate administrative, financial, and membership records while providing professional customer service to members, permit holders, contractors, and internal departments. The ideal candidate is dependable, discreet with confidential information, comfortable handling financial records, and able to manage multiple responsibilities while meeting deadlines. Key Responsibilities Core Duties Process daily dues payments and credit card transactions. Handle fleet records and process related updates. Process member death notifications and complete related documentation. Prepare, print, and issue member receipts. Assemble and process initiation packets and CPF packets. Index, scan, and upload documents into OnBase. Maintain member addresses, including updates from returned mail. Handle incoming phone calls and route them to appropriate districts or employees. Process checks, cash, and credit card payments received by mail. Review daily member transactions from districts. Perform additional administrative duties as assigned. Daily Duties Answer phones and assist members or route calls appropriately. Process dues payments, credit card transactions, and daily mail. Prepare receipts and complete scanning and indexing tasks. Update addresses and member information as needed. Assist with routine office tasks and equipment checks. Weekly Duties Review transactions submitted by districts. Monthly Duties Assist with recurring administrative reports and data updates as assigned. Contribute to monthly recordkeeping and packet-processing needs. Quarterly Duties Assist with periodic audits, record reviews, and updates to multi-step member processes. Yearly Duties Support office-wide archiving, annual updates, and documentation reviews. Backup Responsibilities Provide coverage for other Member Services roles as needed, including front-desk support, payment processing, and document handling. Qualifications & Skills Strong organizational and time-management skills. Excellent communication and customer service abilities. High attention to detail and accuracy. Critical thinking and problem-solving skills. Proficiency in Microsoft Office and data-entry systems. Strong aptitude for basic math and financial recordkeeping. Ability to calculate, track, and reconcile financial information accurately. Ability to interpret and follow organizational rules, procedures, and agreements. Ability to maintain confidentiality and exercise discretion with sensitive information. Self-motivated with the ability to manage multiple priorities and meet deadlines. Candidates with experience processing and applying payments, handling transactions, maintaining accurate records, and serving customers in retail, medical offices, accounting, property management, membership organizations, or similar environments are encouraged to apply. Physical Requirements Ability to sit for extended periods and perform clerical tasks. Occasional lifting of mail, supplies, and office materials.
