Position Overview HBNO is seeking a Maintenance & Spare Parts Coordinator to coordinate preventive and corrective maintenance for production equipment and facility assets while maintaining accurate spare-parts inventory and maintenance records in MaintainX . The role ensures maintenance tasks are scheduled, assigned, completed, documented, and supported with the correct parts, procedures, notifications, and records. Key ResponsibilitiesMaintainX & Maintenance Planning Maintain all machinery and facility assets, PM schedules, work orders, maintenance history, and spare-parts records in MaintainX. Enter accurate PM dates, review dates, action dates, frequencies, owners, labor estimates, and required parts. Configure automated notifications for upcoming, overdue, and review-date maintenance. Create, assign, prioritize, track, and close work orders with complete documentation. Build and improve preventive-maintenance job plans and procedures. Coordinate maintenance schedules with Operations to minimize production disruption. Track maintenance backlogs, delayed work, recurring failures, and overdue PMs. Train technicians and supervisors on proper MaintainX usage. Spare Parts & Storeroom Management Maintain accurate part numbers, descriptions, quantities, costs, locations, reorder points, and asset links. Receive, inspect, label, store, issue, and return parts while recording all transactions in MaintainX. Kit and stage parts for upcoming maintenance work. Adjust stock levels based on usage, lead times, criticality, and supplier performance. Conduct cycle counts and full inventories, maintaining at least 98% inventory accuracy . Identify obsolete, duplicate, and slow-moving inventory. Set up spare-parts inventory for new machinery and facility equipment. Purchasing & MRO Budget Support Purchase spare parts and MRO items up to $1,000 per purchase . Obtain General Manager approval for purchases above $1,000. Track maintenance-related spending, parts costs, contractor costs, and purchase orders. Maintain quotes, packing slips, receiving records, and cost traceability. Do not split purchases to avoid the approval limit. Vendor & Contractor Coordination Communicate with suppliers, OEMs, and maintenance contractors. Request quotes, confirm lead times, expedite urgent parts, and follow up on open orders. Support Vendor Managed Inventory programs where appropriate. Monitor supplier performance, delivery reliability, part quality, and invoice accuracy. Coordinate contractor schedules, site access, safety requirements, SLAs, warranties, repairs, and close-out documentation. Reporting & Continuous Improvement Report on PM compliance, overdue work, schedule performance, parts availability, inventory accuracy, and maintenance costs. Review repeat failures, unusual parts usage, and delayed maintenance. Support downtime investigations and reliability improvements. Ensure all work orders include accurate labor, parts, failure causes, corrective actions, photos, and completion notes.

95% or higher on-time completion Schedule compliance: 90% or higher Inventory accuracy: 98% or higher Critical parts stockout rate: 2% or lower Work-order closeout: 100% of completed work documented in MaintainX No overdue PM without an assigned action or escalation Reduction in unscheduled downtime and repeat failures Required Qualifications High school diploma or equivalent. At least 3 years of experience in maintenance planning, CMMS administration, spare-parts/storeroom management, or a combined maintenance planning role. Experience with a CMMS such as MaintainX, SAP PM, Maximo, Fiix, Limble, or similar. Knowledge of preventive maintenance, work orders, spare-parts control, and inventory procedures. Strong attention to detail with records, dates, costs, part numbers, and reports. Clear communication with technicians, Operations, vendors, and management. Forklift certification or ability to obtain certification if required by the site. Preferred Qualifications Hands-on maintenance or technician experience. Experience setting reorder points and classifying parts by criticality. Experience with cycle counts, VMI, contractor SLAs, warranties, planned shutdowns, or reliability programs. Technical certificate or associate degree in industrial maintenance, reliability, supply chain, or a related field.
