Job Description
Job Summary We are seeking a detail-oriented Parts Administrator, also known as a Bilingual Billing & Parts Coordinator, for a direct hire opportunity in Ontario, CA. This role supports a busy Parts Department by handling billing, parts orders, inventory records, customer communication, and coordination between customers, vendors, warehouse teams, and internal departments. This is a great opportunity for someone who is organized, bilingual in English and Spanish, and enjoys working in a fast-paced logistics, transportation, or parts-related environment. The ideal candidate will be comfortable balancing administrative work, customer support, order tracking, and billing follow-up while helping ensure parts are processed, shipped, and invoiced correctly. Key Responsibilities
- Process customer invoices, credits, purchase orders, and billing documents accurately and on time.
- Receive, verify, enter, and track parts orders while maintaining accurate inventory and parts records.
- Research and resolve billing discrepancies, pricing questions, customer inquiries, returns, exchanges, and warranty-related issues.
- Provide professional customer service in English and Spanish by phone, email, and in person.
- Coordinate with warehouse personnel, vendors, and internal teams to support timely order fulfillment, shipping, and delivery.
- Prepare shipping documentation, reconcile invoices with purchase orders and receiving documents, and generate billing, inventory, and parts sales reports. Compensation and Benefits
