Job Description
Job Overview We are seeking a dynamic and highly organized Service Coordinator to join our team .Support the growth of our business operations. Duties:
Responsible for supporting daily operations of BTC Logistics maintenance by coordinating repairs, scheduling preventative maintenance, maintaining accurate work order documentation, managing parts inventory, and ensuring effective communication between management, operators, and technicians. This role is vital to minimizing equipment downtime, maintaining inventory accuracy, and ensuring repairs are completed in a safe, efficient, and cost-effective manner.- Preventative Maintenance o Maintain preventative maintenance schedules and service reminders o Coordination with management, technicians, and operators o Reprioritize repairs based on operational needs o Prepare PM kits by allocating required parts o Coordinate local repair service calls
- Work Orders o Create, manage, and audit work orders in maintenance system o Ensure accurate entry of equipment information, repair details, labor hours, and parts usage o Verify proper allocation of labor and materials to each repair o Perform routine audits to ensure work order accuracy and completeness
- Parts Management o Perform routine physical cycle counts to maintain accurate inventory o Perform routine inventory audits in maintenance management system o Monitor inventory levels for replenishment of low and out of stock items o Create and maintain part records to include nomenclature, locations, price, quantity, and labels o Monitor shop consumables and inventory usage o Coordination of third-party repair services o Maintain security and accountability of inventory through controlled parts distribution o Coordinate part procurements and assist with deliveries as needed • Reporting & Communication o Communicate equipment repair status with management o Assist in preparation of maintenance summary reports o Track labor, parts, and repair costs o Import and verify fuel transactions, engine hours, mileage, and equipment utilization records • Inventory Control o Review warranty status and maintenance history o Obtain vendor quotes and create orders for stock replenishment and repairs o Receive, inspect, and verify received parts and materials o Allocate parts accurately to work orders and maintain inventory integrity • Organization & Safety o Maintain a clean, organized, and well-stocked parts room o Support overall shop cleanliness and organization o Participate in routine safety inspections and housekeeping activities o Promote a safe and efficient work environment Qualifications o High school diploma or equivalent o Strong computer skills, including Microsoft Office applications o Valid driver's license o Working knowledge of diesel trucks and heavy equipment service operations: Preferred o Familiarity with maintenance management systems: Preferred o Strong organizational and time management skills o Excellent attention to detail and accuracy o Ability to prioritize multiple tasks in a fast-paced environment o Effective written and verbal communication skills o Ability to work independently while supporting a collaborative team environment o Ability to lift up to 50 pounds occasionally o Ability to stand, bend, reach, and climb as necessary o Comfortable working in a shop environment with varying temperatures, noise, and exposure to equipment.
