Job Description

Spare Parts Specialist The Spare Parts Specialist is responsible for overseeing daily spare parts operations and providing exceptional customer support. This role ensures accurate order processing, warranty administration, and effective communication with customers and coworkers to support the efficient delivery of spare parts.
PRINCIPAL DUTIES AND RESPONSIBILITIES
Respond to customer inquiries regarding spare parts, pricing, availability, lead times and order status. Prepare and process quotations, sales orders, invoices, and down payments accurately and in a timely manner. Follow up on open quotations and customer requests as needed. Review customer purchase orders for accuracy, pricing, part numbers, shipping instructions and other requirements. Provide order status, delivery schedules, and provide regular updates to customers as well as potential delays. Maintain professional and proactive communications with customers all the time. Assist customers with urgent spare parts requirements and identify appropriate solutions whenever possible. Enter and maintain sales order accurately in the ERP System. Verify customer information, pricing, payment terms, shipping information and material availability. Process regular and down payment invoices, credit notes, debit notes, returns and warranty related transactions as required. Follow established procedures and documentation for all transactions. Monitor open orders and coordinate internally to ensure timely fulfillment. Maintain accurate customer data including contact details, machine locations, shipping addresses and billing information. Assist customers with identifying the correct spare parts using the EREMA equipment information, bills of materials, mechanical drawings, electrical drawings, and other technical information. Verify part numbers, descriptions, revisions, and equipment compatibly before processing order. Coordinate with technical departments or headquarters when additional clarification is required. Develop familiarity with the EREMA equipment and spare parts to provide increasingly independent customer support. Assist with purchasing or replenishment activities when required. Escalate complex commercial, technical, or customer service issues when necessary. Work closely with Sales, Service, Accounting, Purchasing, Logistics and Warehouse teams to resolve customer and order related issues. Support ERP implementations, inventory projects and other departmental initiatives as needed. Provide support for additional responsibilities outside of the primary scope of the position as needed to support overall company operations.
SKILLS AND ABILITIES
Strong knowledge in supply chain, business, logistics, engineering or a field related. Previous experience in spare parts, customer service, inside sales, order management, manufacturing, industrial equipment, or a related environment.
Experience working with ERP systems:
SAP experience strongly preferred. Strong analytical skills with the ability to resolve technical, administrative or customer related issues. Ability to read or interpret technical drawings, electrical drawings, or bill of materials. Proficient in Microsoft Office applications, including Word, Excel, Outlook, and OneNote. Ability to comply with all company health, safety, and site regulations. Ability to work effectively under pressure while maintaining accuracy and professionalism. Excellent organizational and time management skills. Strong problem-solving skills and ability to work independently and proactively. Demonstrated ability to manage multiple orders, customer request, priorities, and deadlines simultaneously. Ability to accurately read, write, and interpret weights, measurements, and dimensions in both metric and imperial units. Excellent verbal and written communication skills and ability to communicate effectively and professionally with the customer and cross functional teams. Ability to follow and execute written and verbal instructions with a high degree of accuracy. Strong attention to detail and commitment to maintaining accurate records and documentation. Experience collaborating with international teams is a plus.

Occasional exposure to one or more unpleasant (noise, heat, dust, etc.) or hazardous conditions. 6-20% of work time.

Pay:
$26.00 per hour
