Service and Parts Coordinator The Service Dispatch & Parts/Warehouse Specialist serves as a key operational support role responsible for coordinating service activities, managing parts and inventory processes, and delivering exceptional customer service. This position acts as a central communication hub between customers, technicians, vendors, subcontractors, and internal teams to ensure efficient scheduling, accurate inventory management, timely service delivery, and positive customer outcomes. Service and Parts Coordinator - Responsibilities Coordinate scheduling and dispatch activities for service, installation, startup, repair, and warranty work while maintaining technician schedules and assignments within service management software. Communicate service schedules, updates, and project status with customers, technicians, and internal stakeholders while monitoring open work orders through timely completion. Serve as the primary point of contact for customer service inquiries, maintain positive customer relationships, and research, resolve, or appropriately escalate concerns and operational issues. Manage inventory levels, coordinate procurement, receive, organize, track, and distribute materials, parts, and supplies to support service and project activities. Process work orders, warranty claims, product returns, and vendor-related service issues while supporting warehouse operations, shipping and receiving, and the maintenance of tools, equipment, and assets. Service and Parts Coordinator - Requirements High school diploma or equivalent; an associate degree or other post-secondary education is preferred. Strong written and verbal communication, interpersonal, customer service, organizational, and problem-solving skills. Proficiency with Microsoft 365 applications and the ability to prioritize multiple responsibilities in a fast-paced environment. Forklift certification or ability to obtain certification, along with a DOT medical card or ability to obtain one. Ability to safely lift up to 50 pounds; three or more years of HVAC, construction, service operations, dispatch, or related industry experience is preferred.
