To maintain an accurate and organized parts and materials inventory. To maintain the minimum standards of profitability for OEM, aftermarket and used parts. Overview A radical trend has taken place in the auto body industry in the recent years. More and more damaged parts are being replaced instead of repaired. This change, coupled with the shrinking margin of profit on OEM parts, has resulted in a difficult dilemma for a collision repair shop in today's market. Parts account for a greater share of the repair bill, yet the profitability on those pars is much less than the past. To counter the effect of this change, it is important to fill the position of parts manager with a qualified individual. This person should be effective at negotiating the best deals from suppliers, and meticulous about accurate inventory. Coming up with cost saving ideas should be second nature for this person. Parts Manager Responsibilities End of day asses to see what is coming in next morning make sure to get all and any parts needed for repair in route or here and on cart mirror matched and ready for tech. Receive all invoices live and in real time, image them in making sure it is legible and put up front in basket to be filed. Always label every part with the appropriate repair order number or part label to simplify the identification and return process when necessary. Continually work at negotiating the best discounts and service available on parts and materials. Maintain a complete inventory of the necessary nuts, bolts, clips, fasteners and specialty items. Check email for parts ordering so you are aware of any delays that vendors respond with. Follow up on parts not received. Open shop/ pull cars out/Make sure shop is in working order for technicians to start. Conduct regular maintenance of the parts room in a neat, clean, and organized manner. Provide safekeeping of all shop specialty tools in a locked cabinet, issuing to technicians as needed, and keeping written record of the employee who has check out the tool. Participate in daily release meetings and be prepared to supply current information on the parts status of all jobs. Keep accurate record by documenting all pertinent information on the computer. Implement parts carts for moving large parts orders quickly and easily. Parts carts will also make tracking parts simple by keeping the entire order with the job until delivery. Carefully monitor parts for freight damage and develop a system for billing accordingly. Even if the damage is relatively minor, over the course of time the potential income can add up to a considerable sum of money. Conduct accurate data entry of vendor invoices, and monitor closely to verify discounts and identify supplemental parts price increases. Every Friday look at schedule and understand what is coming in on Monday. Assist and play an active role in when and what should be painted. Keeping in mind what needs to be dry fit. After supplement 1 confirm with Shop Manager that R.O. is a final bill and print complete parts list and put in clear jacket on cart. Double check all parts are counted and numerically they are correct understanding if any assy make up 1 part versus numerous parts. As techs pull in a car to begin repair you need to wheel the correct cart over to the tech and go over it with him fully understanding all parts of repair and parts. On sublets those all need to be received as well for job costing reports. Any international PDR jobs go through impact PDR and any admin or storage need to be received under overhead car rentals under finish line motor cars. Need to be cross trained and understand collision link and track pod. Back up estimator if needed. Maintains a neat, professional appearance. Maintains consistent attendance record. Knows all required building opening and closing procedures. This is not a complete list but some of the general requirements are: standing, walking, speaking, listening, general intelligence, motor coordination skills and coordination of eyes, hands and feet, grasping, some lifting, pulling and/or pushing and numerical intelligence.
