This position is responsible for providing accurate and timely support throughout the customer order process, including order entry, replacement parts quoting, returns processing, order tracking, and issue resolution. This position works closely with customers and internal teams to ensure orders, replacement parts, and returns are handled efficiently and accurately from initial request through completion. This is an entry level position with room to grow. Key Responsibilities Answer incoming phone lines and respond promptly to customer requests. Research replacement parts, identify appropriate components, and coordinate with internal teams to confirm availability and compatibility. Maintain a strong working knowledge of parts, products, and inventory. Prepare quotes for replacement parts based on customer requests, product information, pricing, availability, and applicable discounts. Convert approved replacement-part quotes into sales orders and ensure accurate processing through fulfillment. Investigate and resolve order discrepancies, incorrect shipments, damaged products, shortages, and other customer concerns. Process customer returns, including reviewing return requests, obtaining required information, issuing return authorizations, and coordinating the return process.
- Follow up on outstanding quotes, orders, returns, credits, and other unresolved customer issues.
- Provide professional and responsive customer service by phone, email, and other communication channels.
- Perform additional administrative and customer-support duties as assigned. Qualifications Previous parts, order-entry, sales, or related experience preferred. Strong communication and telephone skills. High school diploma or equivalent required; additional education is a plus. Excellent attention to detail and organizational abilities.
- Ability to manage multiple orders, quotes, returns, and customer requests in a fast-paced environment.
- Ability to work effectively both independently and as part of a team.
- Comfortable working with Microsoft Office and order-management, ERP, CRM, or inventory systems.
