Job purpose ROMCO is currently seeking a talented and driven Service Administrator to join our El Paso, TX branch team. This role is responsible for supporting service operations through the administration of work orders, warranty claims, billing processes, and parts support activities. The ideal candidate will be highly organized, detail-oriented, and committed to delivering excellent internal and external customer service while ensuring the accuracy and timely completion of service-related documentation and transactions. Essential functions and responsibilities Summarize technicians' reports into clear, accurate work descriptions for invoices and warranty claims. Review, process, and close work orders on an ongoing basis with approval from the Branch Manager or Product Support Manager. Prepare, submit, and track warranty claims in accordance with manufacturer requirements and deadlines. Enter and maintain accurate work order costs, including parts, labor, travel, and outside purchases. Review billing for accuracy and completeness, ensuring all labor, parts, and miscellaneous charges are properly accounted for. Identify and resolve work order discrepancies and missing charges. Reconcile chargeable labor hours with payroll records. Assist with parts counter sales and provide customer support as needed. Receive, unload, stock, and organize incoming parts shipments. Coordinate the gathering, packaging, and shipment of parts related to warranty claims and special returns. Process and return cores to manufacturers as required. Assist with inventory management activities, including physical inventory counts. Maintain organized records and documentation related to service and warranty activities. Collaborate effectively with service technicians, parts personnel, vendors, manufacturers, and customers. Perform other duties and responsibilities as assigned. Knowledge, skill, and ability requirements Strong data entry, clerical, and computer skills (email, spreadsheets, filing systems). Excellent written and verbal communication skills. Strong organizational and time-management abilities with the ability to meet deadlines. High attention to detail and follow-through. Customer service and relationship-building skills. Mechanical aptitude and general knowledge of construction equipment preferred. Education and experience High School diploma or equivalent required 2 years' experience in industry or similar role preferred. Physical demands While performing the duties of this job, the employee must be alert and is regularly required to talk or hear. The employee frequently is required to stand; walk; use hands to finger, handle or feel; and reach with hands and arms. The employee is occasionally required to sit; climb or balance; and stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus. Working conditions and additional requirements This job operates in an office environment. Office hours are from 8:00am to 5:00pm with occasional needs outside standard business hours to accommodate meetings, training and projects. Some travel may be required. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. While performing the duties of this job, the employee is occasionally exposed to fumes or airborne particles, moving mechanical parts and vibration. The noise level in the work environment can be loud.
