We are seeking a detail-oriented and organized Recon & Parts Coordinator to help manage our vehicle reconditioning process from acquisition through Frontline Ready status. The primary purpose of this role is to keep vehicles moving by coordinating repairs, parts, vendors, technicians, timelines, and follow-up. The ideal candidate will have strong organizational and administrative skills, be comfortable using computers and task-management systems, and have the ability to manage multiple open tasks while following through without constant reminders. Automotive experience is helpful but not required. We are primarily hiring for organization, problem-solving, computer ability, cost awareness, communication, and follow-through. Duties Coordinate vehicle reconditioning from acquisition through Frontline Ready using Asana and our established recon process Track each vehicle's current stage, next action, responsible person, due date, and blocker Identify stalled vehicles and follow up until the next action is completed Source automotive parts from dealerships, local parts stores, online vendors, salvage suppliers, and other sources Compare price, condition, compatibility, shipping time, and vendor options before recommending a purchase Obtain required management approval before placing purchases Place approved parts orders and document them correctly Track ordered parts and follow up on delayed shipments Receive and verify parts before installation Communicate with technicians, body shop personnel, outside vendors, and management regarding vehicle and parts status Manage incorrect, damaged, unused, or cancelled parts Initiate and track returns through completion Follow refunds and vendor credits until they are received and verified Keep recon and parts records accurate and current in the system Escalate delays, unexpected costs, or problems to management quickly Help control recon costs and prevent unnecessary or duplicate purchases Physically verify vehicle and parts status when needed rather than relying only on computer updates Skills Strong organization and follow-through Comfortable using computers, email, online research, and task-management software Ability to manage multiple open tasks at the same time Strong attention to detail Good phone, written, and in-person communication Ability to compare options and make logical, cost-conscious recommendations Ability to independently prioritize work after training Proactive problem-solving Reliable attendance and punctuality Ability to learn automotive parts and repair terminology quickly Familiarity with Asana or similar project/task-management software is helpful Automotive parts or dealership experience is preferred but not required What Success Looks Like A successful person in this role does not wait to be reminded about every task. If a part is late, they follow up. If a vehicle has stopped moving, they determine why. If a return is outstanding, they continue tracking it. If a vendor has not responded, they follow up again. If something is blocking production, they communicate it.
The goal is simple:
Know where each vehicle is, what needs to happen next, who is responsible, when it is due, what is blocking it, and keep the process moving. This position is ideal for someone who is organized, dependable, cost-conscious, comfortable with technology, and enjoys solving problems and coordinating multiple moving pieces.
Pay:
$17.00 - $20.00 per hour Expected hours: 40.0 - 45.0 per week
