Onsite | Monday-Friday, 7:30 AM-4:00 PM About the Opportunity Our client is seeking a highly organized and customer-focused Parts & Service Operations Coordinator to support a busy service and operations team. This role is responsible for coordinating parts ordering, inventory tracking, vendor communication, and logistics support to ensure technicians have the resources needed to complete service work efficiently. This position is ideal for someone who enjoys working in a fast-paced environment, communicating with customers and vendors, and managing multiple priorities while maintaining a high level of accuracy and organization. Key Responsibilities Order, track, and manage parts for service and repair activities. Coordinate with vendors and suppliers regarding pricing, availability, lead times, and delivery status. Maintain accurate inventory records, item data, and order documentation. Work closely with field technicians, dispatchers, and operations staff to ensure the correct parts are available when needed. Monitor open orders and provide updates on shipment status and expected delivery dates. Assist with warranty claims, quoted parts orders, returns, and order discrepancies. Communicate with customers regarding order status, delivery timelines, and issue resolution. Prioritize multiple requests and support daily service operations in a fast-paced environment. Utilize internal systems and software tools to track orders, inventory, and service activities. Qualifications High School Diploma or GED required. Prior experience in parts coordination, inventory control, customer service, purchasing, logistics, service operations, or a related field. Strong customer service and communication skills with confidence speaking on the phone throughout the day. Ability to multitask, stay organized, and manage changing priorities. Detail-oriented with strong follow-through and problem-solving skills. Proficiency with Microsoft Office, including Word, Excel, Outlook, and Windows-based systems. Experience with Salesforce, Trello, ERP systems, inventory software, or service management platforms is a plus. Ability to work effectively with internal teams, vendors, customers, and field personnel.
