Parts & Service Solutions Coordinator Parts Research | Inventory & Warehouse | Vendor Returns | Parts Sales ACCESS is a Wisconsin-based manufacturer's representative and service provider supporting mission-critical power, cooling, and monitoring systems. Our customers depend on these systems to keep critical facilities operating—and they depend on us to get the right solutions, parts, and support when they need them. We are growing our Service Operations team and are looking for a Parts & Service Solutions Coordinator to take ownership of the parts function from technical identification and ordering through warehouse management, manufacturer returns, logistics, and customer sales. This is a hands-on role for someone who enjoys solving technical problems, staying organized, working with customers and vendors, and taking ownership of getting things done correctly.
What You'll Do:
Technical Parts Research & Identification You'll be the primary resource for identifying replacement parts needed for service work and customer equipment. Research replacement parts using equipment model numbers, serial numbers, service manuals, BOMs, and manufacturer resources Confirm part numbers, specifications, and compatibility before ordering Work directly with field technicians to determine what parts are required Research alternate or upgraded components when appropriate Build and maintain reference information for commonly used equipment and parts Help reduce service delays caused by incorrect or unavailable parts Getting the right part the first time is a major part of this job. Warehouse & Inventory Management You'll own the day-to-day organization, accuracy, and movement of parts through the ACCESS warehouse. Maintain a clean, organized, and safe warehouse Track what enters and leaves the warehouse Maintain accurate inventory for ACCESS and ACSI stock Perform regular cycle counts and reconcile inventory discrepancies Organize parts so they can be located quickly Identify damaged, missing, obsolete, or slow-moving inventory Maintain accurate records of inventory movement The goal is simple: we need to know what we have, where it is, and where it went. Manufacturer Returns & Vendor Coordination You'll own manufacturer and supplier returns from start to finish. Identify parts eligible for return, credit, or warranty replacement Initiate and manage RMAs with manufacturers and suppliers Package, label, and ship returns correctly Track outstanding returns and credits Follow up on disputed or delayed credits Maintain accurate records until each return is closed Build effective working relationships with manufacturer and vendor contacts Receiving, Logistics & Forklift Operations You'll help manage the physical movement of parts and equipment through the warehouse. Safely unload incoming deliveries, including forklift operation Receive and inspect shipments against purchase orders Stage parts for technicians and service jobs Coordinate delivery of parts to technicians and job sites Track expedited shipments when service requirements demand them Notify dispatch and technicians when required parts arrive Maintain warehouse and forklift safety standards Forklift experience is helpful, but ACCESS will provide training. Parts Sales & Business Development This isn't just an internal parts-support position. You'll also help grow our parts business. Identify replacement opportunities generated through service work Develop parts quotes and proposals for customers Follow up on open parts quotes Communicate with customers about replacement parts, upgrades, and availability Identify lifecycle replacement opportunities for critical components Work with customers to plan upcoming parts needs Help expand parts sales within our existing customer base You'll have an opportunity to turn technical knowledge and service information into real customer solutions and revenue growth. Customer Relationships You'll communicate directly with customers and become a trusted resource for their parts needs. Respond to customer parts requests Provide accurate information on availability, pricing, and lead times Follow through on quotes and orders Maintain relationships with facility managers and maintenance teams Identify upcoming maintenance and replacement needs Help customers plan for lifecycle replacement of critical components Turning Service Information Into Parts Opportunities You'll work closely with our technicians and Service Intelligence team to identify parts opportunities.

A technician identifies a component showing signs of failure → you research the correct replacement → develop the quote → communicate with the customer → coordinate the order → and make sure the part gets where it needs to go. Compensation $22-$26 per hour , based on experience and qualifications. Additional performance-based compensation may be available based on company and individual performance.
