Overview We are seeking an energetic and detail-oriented Philadelphia Event Specialist to join our team! In this role, you will be the driving force behind planning, coordinating, and executing engaging events that support our mission to empower schools. Your enthusiasm for event marketing, exceptional organizational skills, and ability to manage multiple projects will ensure each event is a memorable success. This paid position offers an exciting opportunity to make a tangible difference in educational communities while honing your skills in event management and client engagement. Responsibilities Collaborate with school partners and internal teams to plan and execute a variety of fundraising events, including fun runs, community gatherings, and promotional activities. Manage all aspects of event logistics, including venue selection, vendor negotiations, catering arrangements, and setup/tear-down processes. Develop and oversee event budgets, ensuring cost-effective planning while maximizing impact through upselling opportunities and sponsorships. Utilize event management software and CRM systems to track participant data, coordinate communications, and analyze event performance metrics. Build strong relationships with clients by providing exceptional customer service, clear communication, and tailored event solutions that meet their needs. Lead onsite event operations, ensuring smooth execution by managing staff, volunteers, and vendors effectively. Monitor project timelines and deliverables using project management tools to ensure deadlines are met with precision. Qualifications Proven experience in event planning, management, or hospitality industry roles such as restaurant or hotel experience; banquet or catering background is highly valued. Strong negotiation skills with the ability to upsell services and secure favorable contracts. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) along with familiarity with event management software and CRM systems. Excellent communication skills—both written and verbal—with the ability to manage client relationships professionally. Demonstrated organizational skills with keen attention to detail; capable of managing multiple projects simultaneously under tight deadlines. Experience managing event budgets and managing vendor contracts effectively. Background in fundraising or nonprofit environments is a plus; hospitality or guest services experience also highly desirable. $23.62 - $28.44 per hour
