We help families buy, sell, and invest across the East Valley, and we run a growing property management business. We're hiring an Operations Manager/ Executive Assistant to be the engine behind every transaction. You'll own the process from signed agreement to closing, lead our virtual assistant team, coordinate property management, and protect the Team Owner's time so our agents can focus on clients. Duties Oversee all aspects of buyer, seller & rental transactions from a listing/buy appointment to closing and effectively manage the administrative tasks involved in closing a sale Provide exceptional customer service throughout the entire closing process Be the first point of contact/resource for all questions that arise throughout the closing process Act as a liaison between the clients, agents, title/escrow companies, and mortgage lenders throughout the transaction with frequent communication Communicate regularly with the client to educate them on the transaction process, send reminders, check-in on needs or questions, and provide updates and "next step" expectations Oversee all property management coordination including but not limited to lease writing, client communication & repair scheduling Assist in finding more property management opportunities Follow up with clients after the sale to check-in and request 5 star reviews Oversee virtual assistants completing the following oMaintaining accurate and compliant files for all transactions o Coordination of inspections, assist in gathering bids and repair estimates, and coordinate completion of repairs o Submission of all necessary documentation to office broker for file compliance o Scheduling and coordinating of closings/signings, moving, and possession schedules o Updating and maintaining all clients records in the company CRM or database o Maintaining and implementing drip campaigns and regular automated client communications o Managing all contingency deadlines in the contract and follow up with individuals as needed to ensure all deadlines and contingencies are met o Understanding the contracts in order to summarize all important terms, conditions, and contingency dates
