Rent Right Management Solutions is based in Prescott, Arizona, with properties throughout the Quad Cities area (Prescott, Prescott Valley, Chino Valley, and Dewey). Job Description Rent Right is seeking highly detail-oriented and organized professionals to handle a variety of office and field responsibilities. In this role, you'll be conducting an array of inspections that have both an office and field component. This position performs rentable condition, pre-move-in, and move-out inspections. These inspections require documentation, coordination and acting as an advisor to Landlords on the appropriate course of action. The role expands beyond conducting detailed property inspections, coordinating maintenance and repairs, and ensuring each home meets our standards prior to move-in or turn. This role also oversees security deposit processing and disputes, and manages vendor scheduling and quality control. All inspections and communications are documented in our property management software. From welcoming new residents with thoughtful communication and gestures, to coordinating marketing efforts for available properties, this position is perfect for someone who enjoys a mix of administrative work, customer service, and hands-on field work. This role isn't for the faint of heart—it requires professionalism, a thick skin, and the ability to balance empathy with fairness. General Office Duties- Answer incoming phone calls and assist with general inquiries from residents, owners, and vendors
- Attend all staff meetings and office functions
- Maintain detailed communication notes in AppFolio, including updates from conversations and emails with residents, owners, and vendors Move-Out Inspections
- Create a move-out inspection report in AppFolio upon property surrender
- If the resident does not surrender at the end of the lease date, communicate with the resident to coordinate access
- Update the inspection date and note in the system when the inspection is performed and if a lockbox is installed
- Collect and document all property keys
- Check out the lockbox in the system
- Update the calendar with the move-out inspection schedule
- If the resident has requested to be present, communicate an inspection time so they may attend
- Walk through the property using green tape to mark areas requiring repair, attention, or for informational purposes (FYIs)
- Photograph all damages, imperfections, and maintenance items
- Determine financial responsibility for damages (resident vs. owner)
- Review pre-move-in photos and property condition reports to identify pre-existing conditions
- Complete the inspection report with all identified repairs, FYIs, photos, descriptions of work needed, and cost responsibility
- Create work orders for all required trades and schedule vendors accordingly
- Create estimated request work orders for owner-responsibility repairs
- Fill out the security deposit disposition form, including associated work order numbers
- Get owner-approved work scheduled and collect funds if needed
- Answer vendor calls and questions related to assigned work
- Perform quality control checks on all completed vendor work
- Review, approve, and bill out all vendor invoices
- Review and communicate with both owners and residents regarding any disputes related to security deposit charges, and process any necessary refunds in accordance with company policy and lease guidelines Pre-Move-In Documentation
- Conduct thorough pre-move-in inspections prior to new resident occupancy
- Assemble welcome baskets with handwritten notes for new residents
- Complete inspection reports in AppFolio with supporting documentation and photos
- Take full-property digital photos to document conditions prior to move-in
- Update the lockbox code for new residents
- Address and resolve any remaining vendor work or outstanding items Rentable Condition Inspections
- Perform rentable condition inspections to assess overall marketability
- Use green tape to mark needed work, imperfections, or FYI items
- Create an inspection report outlining required and recommended work to bring the home up to rentable standards, including photo documentation
- Provide detailed explanations for recommended repairs or upgrades to help educate owners on rentable condition standards
- Communicate findings with property owners and answer related questions once the report has been reviewed
- Create all vendor trade estimate requests for necessary work
- Submit gathered estimates to the owner for approval
- Coordinate vendor scheduling once funding is received
- Keep owners informed of project timelines and marketing status Marketing Coordination
- Schedule marketing photos with the photographer
- Upload completed marketing photos to AppFolio and the company cloud
- Post YouTube videos, virtual tours, floor plans, etc.
- Confirm that all marketing descriptions, terms, and pricing are accurate and up to date
- Notify internal teams once the property is listed and available online
REQUIRED QUALIFICATIONS
- Possess or be willing to obtain an Arizona Real Estate Sales License within 90 days of hiring date
- Strong understanding of property management services and Arizona rental laws
- High level of communication and interpersonal skills
- Excellent organizational skills and ability to multitask
- Proficient in property management software (AppFolio preferred) and Microsoft Office
- Strong judgment and decision-making skills
- Effective team leadership and coaching skills
- Self-motivated, proactive, and team-oriented
