Job Overview We are seeking a dynamic and highly organized Real Estate Administrative Assistant to join our vibrant team. In this role, you will be the backbone of our real estate operations, providing essential administrative support that ensures smooth transactions, effective client communication, and efficient team collaboration. Duties Manage and coordinate real estate transactions from offer to closing, ensuring all documentation is accurate and deadlines are met Assist with property listing preparations, including marketing materials, online listings, and open house scheduling Support clients through effective communication, building rapport and providing exceptional customer service throughout their buying or selling journey Conduct market research and analyze industry trends to provide valuable insights for clients and team members Utilize sales technology and Customer Relationship Management (CRM) systems to track leads, follow-ups, and client interactions, Specifically Follow Up Boss. Organize meetings, appointments, and manage administrative tasks such as filing, data entry, and document preparation with precision and efficiency Oragnize and coordinate Sales team with appointments and followup Skills Bilinigual in Spanish and English Strong communication skills with the ability to build rapport with clients from diverse backgrounds; bilingual or multilingual abilities are a plus Proficiency in Microsoft Office Suite (Word, Excel, Outlook) for document creation, data management, and correspondence Proficient in Canva, CapCut and similar marketing tools Experience with managing real estate teams or supporting multiple agents is highly desirable Familiarity with industry trends, market analysis techniques, and fair housing regulations to ensure compliant practices Exceptional organizational skills with the ability to prioritize tasks efficiently in a fast-paced environment Administrative experience within the real estate sector that demonstrates attention to detail and proactive problem-solving capabilities Real Estate License is a plus but not required.
