Real Estate Operations Coordinator & Executive Assistant Janis Properties | Janis Development About the Role Janis Properties is seeking a highly organized, proactive, and detail-oriented Real Estate Operations Coordinator & Executive Assistant to support the owner and help oversee the day-to-day operations of our established, fast-paced real estate office. The simplest way to picture the seat: a real estate agent without the selling. You'll be comfortable with contracts and legal paperwork, marketing, customer service, a little project management, helping us hire, and learning new systems — everything an agent does except chase the deal. This is a full-time, in-office position for someone who has a passion for real estate, enjoys keeping transactions moving, and thrives in a busy environment where no two days are the same. Responsibilities include overseeing the transaction process, coordinating with real estate agents, lenders, title companies, inspectors, photographers, and other vendors, assisting with marketing and events, and helping ensure the office operates efficiently. We're looking for someone who is resourceful, professional, and takes ownership of their work. In our office, new situations come up regularly, and we value someone who is comfortable learning new processes, solving problems independently, and creating systems that improve efficiency. If you enjoy variety, have excellent organizational skills, and aren't afraid to jump in wherever needed, this could be the perfect fit. Responsibilities Transaction Coordination & Operations Oversee residential real estate transactions from contract to closing. Supervise our experienced remote Transaction Coordinator and own the outcome of every file. She runs the day-to-day contract-to-close work; you set priorities, review files for accuracy and compliance, monitor every deadline, cover the in-person pieces that can't be done remotely, and step in when something stalls. Review transaction files for quality control and monitor all contract deadlines. Coordinate with buyer's agents, listing agents, lenders, title companies, inspectors, photographers, and other vendors. Schedule inspections, photography, appraisals, closings, and other transaction-related appointments. Assist agents with contract questions, timelines, and transaction updates. Prepare and track contracts, amendments, and disclosures; be the office's first stop for contract and compliance questions, escalating to the broker when needed. Develop and improve systems, workflows, and checklists to keep the office running efficiently. Administrative Support Support the owner with daily administrative and operational tasks. Answer incoming phone calls and emails. Own the client experience — a warm, professional, responsive point of contact for clients from first call through post-closing follow-up. Manage calendars, scheduling, and office organization. Prepare documents, reports, and presentations. Assist with special projects and day-to-day office operations. Marketing & Events Coordinate listing launches and marketing timelines. Create and schedule email campaigns. Manage social media content and marketing. Coordinate photography, brochures, flyers, and other marketing materials. Host or assist with open houses, broker opens, neighborhood open houses, and occasional client appreciation or networking events. Projects, Hiring & New Systems Run small projects end-to-end — own the timeline and the result, not just the task list.
Help us hire:
post roles, screen candidates, schedule interviews, and support onboarding of new team members. Learn and roll out new software and AI tools, then teach the rest of the team what you learned. What We're Looking For The ideal candidate: Has experience in residential real estate administration, transaction coordination, or executive support. Is highly organized with exceptional attention to detail. Takes initiative and enjoys figuring things out independently. Can research unfamiliar topics, learn and follow systems, and confidently solve problems. Creates processes and systems that improve efficiency. Brings their own systems and checklists — the kind of person who builds the process instead of waiting to be handed one. Takes a task and runs with it: moves quickly on requests, makes sensible decisions with incomplete information, and owns the outcome. Communicates professionally with agents, lenders, title companies, inspectors, vendors, and business partners. Thrives in a fast-paced environment and can successfully manage multiple priorities. Has strong computer skills, including Microsoft Office, Google Workspace and AI technologies. Experience with
MLS, CRM
software, Canva, and email marketing is a plus. Schedule This is a full-time, in-office position, Monday through Friday. Because real estate doesn't always operate during standard business hours, occasional flexibility is required.
Responsibilities may include:
Answering a limited number of weekend phone calls when needed (calls are forwarded to your cell phone — this is typically only a few calls and does not require being in the office). Hosting occasional weekend open houses. Assisting with evening broker opens, networking events, client appreciation events, or neighborhood marketing activities, including distributing flyers.
