Estate Planning Legal Assistant & Office Coordinator The Otto Law Group | Coral Springs, FL $21-$27/hour | 35 Hours Per Week | 100% In-Office Monday-Friday, 9:00 AM-5:00 PM Spanish Strongly Preferred The Otto Law Group is a growing Coral Springs law firm focused primarily on estate planning. We are looking for an experienced, organized, and personable Estate Planning Legal Assistant & Office Coordinator to join our team. This is a unique position combining hands-on estate planning legal support with client service and office coordination. We are looking for someone who can help keep our physical office running smoothly while also contributing meaningfully to the preparation and completion of estate planning matters. This is not simply a receptionist or general administrative position. The ideal candidate has prior law firm experience, hands-on familiarity with estate planning documents, excellent client-service skills, and the ability to take ownership of responsibilities without constant supervision. Spanish fluency is strongly preferred and will be given significant consideration, but experienced estate planning legal assistants who otherwise meet the qualifications are encouraged to apply. What You'll DoEstate Planning & Legal Support You will assist with estate planning matters from intake through signing and completion. Depending on your experience, responsibilities may include: Preparing and revising revocable living trusts Preparing wills, durable powers of attorney, health care surrogate designations, living wills, and related estate planning documents Preparing or assisting with Florida deeds Reviewing client intake information and identifying missing or inconsistent information needed for document preparation Preparing estate planning documents using firm templates and document automation software Making revisions based on attorney instructions Reviewing documents for names, dates, fiduciary appointments, beneficiaries, distributions, and other inconsistencies before attorney review Preparing complete estate planning files for attorney review Preparing documents and files for client signing appointments Assisting with post-signing processing, scanning, recording, and organization Coordinating with our remote legal production team regarding files, revisions, and outstanding items Helping ensure matters continue moving efficiently through our estate planning workflow You will work within the firm's established systems, templates, and attorney-approved planning instructions. You will not be expected to independently provide legal advice or design clients' estate plans. Office & Client Services You will also play an important role in the day-to-day operation of our Coral Springs office, including: Greeting clients and creating a warm, professional client experience Answering and routing incoming telephone calls Scheduling and confirming appointments Communicating with clients regarding administrative and case-status matters Assisting Spanish-speaking clients with scheduling, intake, and general non-legal communication, if bilingual Preparing the office, conference room, and documents for client meetings and estate planning signing appointments Printing, scanning, uploading, mailing, and organizing documents Helping coordinate signing appointments and document execution Maintaining an organized, professional, client-ready office Coordinating in-office needs with attorneys and remote team members Assisting with general administrative and legal projects as needed We are looking for someone who can comfortably transition between helping a client in the office, coordinating a signing appointment, and sitting down to work on an estate planning file. Required Qualifications Prior experience working in a law firm Hands-on experience working with estate planning documents Strong organizational and administrative skills Excellent written and verbal communication skills Professional and comfortable interacting with clients in person and by telephone Strong attention to detail Ability to manage multiple matters, tasks, and deadlines Comfortable learning and using technology Ability to follow established processes, checklists, and workflows Ability to work independently, take initiative, and follow through Ability to work in person in our Coral Springs office Monday through Friday Strongly Preferred 2+ years of experience in estate planning, probate, elder law, or trusts and estates Hands-on experience drafting or preparing trusts, wills, powers of attorney, and related estate planning documents Experience preparing Florida deeds Florida estate planning experience Fluency in both English and Spanish Florida Notary Public commission or willingness to become a notary Experience coordinating estate planning signing appointments Experience with law practice management, CRM, or document automation software Schedule This is a 100% in-office position in Coral Springs, Florida. It is not a remote or hybrid position. Monday-Friday, 9:00 AM-5:00 PM One-hour unpaid lunch 35 paid hours per week Occasional additional hours may be available or requested based on client appointments, signing ceremonies, or other office needs. Any additional hours must be approved in advance. Compensation $21-$27 per hour , depending on experience and qualifications. Compensation within the range will take into consideration prior estate planning experience, hands-on drafting ability, Florida estate planning knowledge, Spanish fluency, and overall qualifications. Pay:
$21.00 - $27.00 per hour Expected hours: 35.0 per week
