Your Duties & Responsibilities:
Leadership and Staff Oversight Lead, manage, and support administrative, transaction, and financial support staff. Establish performance expectations, accountability rhythms, and documented operational standards. Conduct coaching, feedback, and development conversations that build a capable, dependable operations team. Operational Systems and Process Management Create, maintain, and refine standard operating procedures (SOPs) across operational workflows. Implement scalable systems that support growth, efficiency, and standardization. Oversee compliance with company models, brand expectations, legal requirements, and internal policy. Compliance and Transaction Management Maintain and update all compliance-related forms and documents, including Florida Realtors (FAR), National Association of Realtors (NAR), and local Realtor Association forms and requirements. Oversee Dotloop organization, document management, form updates, storage, and transaction compliance. Review and monitor transaction files to ensure compliance standards are consistently met. Serve as the point of accountability for accurate, audit-ready transaction records and documentation. Financial Oversight and Commission Administration Receive, verify, organize, and process commission checks and transaction documents. Handle deposits, reconciliations, and accurate financial recordkeeping. Oversee commission processing, Disbursement Authorization (DA) issuance, and overall commission administration. Complete monthly reconciliations, including MLS fees, commission deposits, tracker and database records, and related reporting. Review and approve reporting; support budgeting, forecasting, and month-end submissions. Maintain confidentiality and secure financial records at all times. Reporting, Analytics, and Performance Tracking Maintain the accuracy and integrity of internal trackers and databases. Produce monthly, quarterly, and annual reporting of closed transactions, sales volume, pending transactions, and other key performance metrics as requested by leadership. Track and report on agent award programs and recognition initiatives. Assist and collaborate with leadership in the preparation of departmental budgets, forecasting, and business projections. Recruiting, Retention, and Productivity Support Partner with leadership on the operational handoff between recruiting and onboarding. Analyze retention, growth, and operational trends to support leadership decisions. Support systems that impact productivity, activation, and agent engagement. Retention and Culture Support culture and agent-appreciation efforts that make agents feel valued. Additional Responsibilities Perform other duties as assigned. What We Are Looking For Prior real estate industry experience is required, including familiarity with brokerage operations and transaction workflows. Proven leadership experience in operations, business administration, or organizational management. Experience with real estate transaction compliance, Dotloop or comparable transaction management platforms, and Realtor Association forms and requirements is strongly preferred. Strong analytical skills with financial, operational, and performance data, including commission processing and reconciliations. Excellent communication, problem-solving, and decision-making abilities. Highly organized, adaptable, tech-confident, and skilled at managing multiple priorities and deadlines. Commitment to confidentiality, accuracy, professionalism, and a hospitality-minded agent experience.
Pay:
$60,000.00 - $70,000.00 per year
