About the Role We are seeking a highly proactive operations and administrative professional to serve as a key operational partner to the Broker of Record at our Realty ONE Group Evolve office in Ormond Beach, Florida. This role is responsible for helping manage the day-to-day operations of the brokerage and ensuring that agent needs, meetings, compliance requirements, recruiting initiatives, office systems, and brokerage priorities move forward seamlessly. The ideal candidate is someone who anticipates needs, takes ownership, follows through without repeated direction, and identifies and resolves issues before they become problems. This is a full-time, on-site position at the Realty ONE Group Evolve office in Ormond Beach, FL. More than traditional operational and administrative support, this individual will act as a trusted extension of the Broker of Record and will be expected to exercise sound judgment, confidently manage competing priorities, and represent the Broker of Record when appropriate. Success in this role means creating an organized, responsive, and high-performing brokerage environment that allows the Broker of Record to remain focused on recruiting, strategic growth, business development, and expanding the company's presence throughout Volusia and Flagler Counties. Responsibilities Brokerage Operations & Strategic Support Serve as the Broker of Record's primary operational partner and assist with managing the day-to-day activities of the brokerage. Proactively identify priorities, deadlines, potential issues, and follow-up needs without waiting for direction. Own assigned projects and responsibilities from start to finish, ensuring work is complete, accurate, and delivered on time. Maintain visibility into brokerage priorities and ensure important action items do not fall through the cracks. Exercise sound judgment when resolving routine operational matters and appropriately escalate issues requiring Broker of Record involvement. Support the implementation of new brokerage policies, procedures, processes, technology, and operational initiatives. Identify opportunities to improve workflows, communication, organization, and the overall agent experience. Agent Support & Communication Serve as a knowledgeable and responsive point of contact for agents regarding brokerage processes, technology, marketing, systems, and operational questions. Maintain consistent communication with agents and proactively check in regarding outstanding needs, paperwork, technology assistance, and brokerage requirements. Schedule and coordinate meetings with agents to review paperwork, conduct training & coaching, follow up on outstanding items, or other operational matters. Follow agent questions and requests through to resolution rather than simply routing or escalating issues. Build trusted relationships with agents while maintaining appropriate accountability for deadlines, documentation, and brokerage requirements. Assist agents and the Broker of Record with technology training and troubleshooting. Agent Recruiting, Onboarding & Offboarding Assist the Broker of Record with recruiting activities, including email campaigns, phone calls, data analysis, data management, event planning, and related initiatives. Coordinate and assist the Broker of Record with administering the Realty ONE Group Evolve Scholarship Program, including posting opportunities on Indeed, coordinating interviews, reviewing applicants, scheduling and participating in interviews, onboarding scholarship recipients, and conducting follow-up by phone and email. Coordinate the operational onboarding of new agents joining the brokerage. Ensure required paperwork, licenses, system access, profiles, brokerage documentation, website development, coaching and training requirements, and other onboarding items are completed accurately and on schedule. Proactively communicate with new agents regarding outstanding items, requirements, and next steps. Coordinate with the Broker of Record to ensure a seamless transition into the brokerage. Maintain onboarding trackers and provide the Broker of Record with visibility into status, risks, and outstanding requirements. Support agent offboarding and associated documentation and system processes as needed. Meetings, Events & Executive Support Manage the planning and operational execution of brokerage meetings, agent trainings, and other office events. Coordinate agendas, trainings, presentations, speakers, materials, logistics, and follow-up items sufficiently in advance of each meeting or event. Ensure presentation materials and meeting deliverables are complete, accurate, reviewed, and ready prior to scheduled meetings. Maintain the Broker of Record's calendar as needed and coordinate meetings, appointments, and key deadlines. Maintain the administrative calendar with important events and dates for agents to view, send calendar invitations, and create and review event descriptions. Track action items resulting from meetings and ensure appropriate follow-through. Prepare, proofread, organize, and maintain presentations, correspondence, reports, and other business materials. Office & Systems Operations Ensure the brokerage operates efficiently and professionally and remains consistent with Realty ONE Group standards. Coordinate office vendors, supplies, facility needs, and other day-to-day workplace requirements. Maintain accurate information within applicable CRM platforms, Notion, Google Sheets, and other brokerage systems. Partner cross-functionally with internal stakeholders to resolve operational issues and support brokerage initiatives. Develop and maintain trackers, checklists, standard operating procedures, and other tools that create accountability and improve operational efficiency. Complete monthly billing, create invoices, promptly address billing concerns, and follow up on outstanding balances. Social Media Management Create content for Facebook, Instagram, LinkedIn, YouTube, and Google Business Profile. Edit videos for posting across social media platforms. Develop individualized copywriting for each platform with the assistance of AI tools. Strong attention to detail is required, including carefully reviewing and proofreading all content before publication. Schedule all social media posts. Engage with the community on social media through likes, shares, comments, and other appropriate interactions. Build relationships with vendors and local real estate agents through social media by following relevant pages and consistently engaging with their content. Review social media platform analytics every three months to identify opportunities for improvement. The company reserves the right to add, modify, or change job duties at any time. Qualifications Demonstrated experience in operations, office management, and staff support. Strong proficiency with Microsoft Office and Google Workspace, including presentation development, document management, and spreadsheet-based data management. Demonstrated ability to manage multiple time-sensitive priorities while maintaining accuracy, organization, and follow-through. Demonstrated ability to quickly learn and adapt to new technologies. Experience working directly with senior leaders, stakeholders, and clients. Must be familiar with using AI tools, including ChatGPT and Gemini, to improve efficiency and productivity. Demonstrated experience with CapCut or other video editing software. Demonstrated experience with digital designs in Canva. Real estate industry experience is preferred. Experience using Notion is preferred. Experience using Constant Contact is preferred. Skills Excellent verbal and written communication skills. Strong organizational and multitasking abilities. Proficiency with Microsoft Office Suite, Google Workspace, and marketing tools. Ability to maintain confidentiality, professionalism, and sound judgment.
Pay:
Up to $19.00 per hour Expected hours: 40.0 per week
