JOB PERFORMANCE STANDARD TYPE OF WORK
Part-time Leasing Specialist/Administrative Support
SKILLS, KNOWLEDGE AND PERSONAL CHARACTERISTICS
The following attributes are desirable for job success: experience in managing/leasing multi-family properties, organizational skills, ability to communicate effectively, safety conscious, desire to maintain and gain knowledge, stay current in use of computer programs and technology, detail oriented, ability to work well under pressure, self- motivation and self-direction, ability to work with/without direct supervision and the ability to become a team leader.
SUMMARY OF FUNCTIONS
Responsible for conversion of telephone and walk-in prospects to leases resulting in maintained and increased occupancy. Responsibility for receiving and posting of rents, with additional responsibility to assist the On-site manager with the coordination of day-to-day activities of the project, in accordance with Builders, Inc.standards. Also, in maintaining clerical, filing and record keeping systems. Enthusiasm for boosting team spirit and overall moral.
MAJOR DUTIES AND RESPONSIBILITIES
Duties may include, but are not limited to: Remain current in knowledge of Builders, Inc. policies and procedures. Use critical thinking and problem-solving skills to support in resolving resident and team concerns Use skills to support the property's marketing and advertising plan to achieve the best image of the community. General knowledge of GL account balances that pertain to marketing and advertising through immediate supervisor communications or financial reports. Help maintain marketing binder with latest marketing plan, offered specials, email campaigns, social media advertising and other social media posts, etc. Assist in property presentation as outlined in Opening Responsibilities document. Respond effectively to telephone inquiries to generate prospective resident visits to the property. Maintain a call to show ratio of at least 65%. Show and demonstrate apartments, utilizing sales skills to demonstrate market ready product and availability to close prospects. Foster prospects into residents by using Builders, Inc. Follow Up Procedure and Policies. Maintain a deposit to show ratio of at least 50%. Must monitor telephone and walk-in traffic at property via Yardi Guest and Prospect Cards and traffic logs. Obtain lease information and process lease applications per Rental Application Procedure. Provide application result suggestions using the Builders, Inc. Statement of Rental Policy. Support resident retention and lease renewal programs per Builders, Inc. Policies. Extensive knowledge of rental agreement and addendums. Proficiency in summarizing all lease documents. Perform move-in inspections with new residents prior to lease signing. Review Welcome packet with new resident prior to move in. Aid in maintaining all records and files. Daily input of applicant and resident updates in YARDI to maintain proper prospect, applicant and resident records. Prepare and process resident service requests. Assist with resident problems and complaints concerning rent payments and service requests. Support Apartment Manager with lease provision concerns, rent collections, etc. Assist with the planning of community activities and events. Collect, record & deposit rental payments, application fees, security deposits, etc.
ORGANIZATIONAL RELATIONSHIPS
Reports directly to the Property Supervisor. Works with Property Manager, Administrative Division staff and staff members of other developments.
PHYSICAL REQUIREMENTS
Must be able to perform the physical functions of the position, which may include, but are not limited to: ability to walk property, including 4 flights of stairs, to complete physical inspections, deliver resident communications, and show apartments. Be able to effectively communicate with residents, staff, supervisors, vendors, etc. Must be able to lift a minimum of 30 lbs.
EDUCATION
Experience:
Two years of customer service.
Education:
High School equivalent.
TRANSPORTATION REQUIREMENTS
Must have a reliable transportation to perform various management errands and tasks. Must be bondable, have a valid Driver's License and proof of liability insurance.
