Full Job Description Position Summary:
Trust and Estate Legal Administrative Assistant provide comprehensive support to our Estate Planning and Trust practice area. This role requires attention to detail and a high level of discretion regarding confidential information.Supervisory Responsibilities:
N/A Responsibilities :
- Draft, review, proofread and manage correspondence, wills, trusts, powers of attorney, probate petitions and other legal documents to ensure accuracy and completeness. Converting files from PDF to Word, assembling binders and making copies
- Organize, file and maintain Trust and Estate materials
- Manage and maintain case files and emails in the Firm's electronic document software
- Maintain and manage calendars; coordinate communication between attorneys, clients, beneficiaries and relevant third parties
- Support the preparations and submission of filing to probate courts
- Assist with Billing and expense reports
- Input time entries on a daily, weekly and or monthly basis. Opens new client and/or matter numbers; performs conflict checks
- Respond to inquiries from callers, take accurate and complete messages
- Provides relevant and timely information to clients and team members (including times when they are out of the office) in a professional, courteous, and effective manner
- This position is also expected to back-up team members by providing administrative support to other attorneys/paralegals when needed
Required Skills/Abilities:
- Excellent organizational skills
- Ability to provide guidance in the most efficient and effective way to complete tasks
- Takes initiative and is a self-starter
- Meticulous attention to detail
- Excellent written and oral communications skills
- Proficient Microsoft Office (Excel, Word and PowerPoint)
- Understands document legal terminology, basic legal procedure and law firm document protocol.
- Knowledge of legal document formats such as contracts and agreements
- Must always maintain a courteous and service driven demeanor
Experience/Qualifications:
- 5+ years' experience in a legal administrative support role, supporting attorneys and legal teams.
- Relevant experience in Trust and Estate law is highly desirable
- Familiarity with legal terminology, procedures and document management systems.
Minimum Education Required:
- High School Diploma or equivalent.
- Certification in legal studies or legal assistant preferred.
Physical Requirements:
- May require prolonged periods of sitting at a desk and working on a computer.
- Frequent use of office equipment such as printer and scanner.
- Occasional lifting of files or legal documents generally weighing up to 20 pounds.
- This position has the expectation of being on-site and in person during the work week.
- Ability to attend meetings or court proceedings may be necessary.
