Job Description

Position Overview We are seeking a highly organized, dependable, and proactive Part-Time Real Estate Assistant to support a busy real estate professional with client communication, lead management, office administration, and executive support. The ideal candidate is an excellent communicator who is comfortable managing multiple priorities, follows through on details, and understands the importance of providing exceptional service to clients and prospects. This position requires someone who can work independently, anticipate needs, maintain confi dentiality, and represent the business in a professional and personable manner. Key Responsibilities Client & Lead Communication Maintain regular and professional communication with clients, prospects, and leads. Enter and maintain accurate prospect and client information in the CTM database. Monitor incoming emails, office phone calls, and text messages and respond or route them in a timely manner. Prepare and type correspondence, including emails, letters, and text messages as needed. Prepare correspondence dictated or requested by Jace. Follow up on client and lead communications. Promptly communicate any special requests, concerns, questions, or client needs to Jace. Help ensure clients receive timely, attentive, and professional service throughout their real estate experience. Office Operations & Administration Provide day-to-day administrative support to keep the office organized and running efficiently. Maintain electronic and paper fi les and ensure information is organized and easily accessible. Assist with scheduling appointments, meetings, inspections, and other calendar activities. Coordinate and track administrative tasks and deadlines. Assist with preparation of listing, marketing, and client materials. Help manage office supplies, mail, deliveries, and other general office needs. Assist with preparing documents, forms, reports, and other administrative materials. Support transaction-related administrative tasks as needed. Help maintain accurate contact information, calendars, databases, and other office records. Executive & Personal Support Provide occasional personal and executive administrative support to Jace. Assist with scheduling, appointments, errands, correspondence, and other tasks as needed. Handle confidential information with discretion and professionalism. Anticipate needs and take initiative to complete tasks without constant direction. Marketing & Business Support Assist with preparation and distribution of client communications, newsletters, mailings, and marketing materials. Help coordinate social media and other marketing activities as requested. Assist with client appreciation events, community events, and other team activities. Help maintain a consistent and professional presentation of the business. Qualifications & Skills Previous experience in real estate, office administration, executive assistance, or a related fi eld preferred. Strong written and verbal communication skills. Excellent organizational and time-management skills. Strong attention to detail and accuracy. Ability to prioritize and manage multiple tasks and deadlines. Professional, friendly, good attitude and service-oriented personality. Ability to work independently and take initiative. Comfortable communicating with clients by phone, email, and text. Proficient with Microsoft Office and/or Google Workspace. Comfortable learning and working with CRM and database systems; CTM experience is a plus. Ability to maintain confidentiality and exercise good judgment. Reliable, responsive, and dependable. Real estate knowledge or a Colorado real estate license is a plus, but not required. What We're Looking For The right person will be someone who takes ownership, notices the details, and gets things done. This is a support position, but it is an important part of maintaining strong client relationships and keeping a busy real estate business operating smoothly. We are looking for someone who is: Organized and detail-oriented Proactive rather than reactive Professional and personable Schedule & Compensation Approximately 15-20 hours per week Flexible hybrid schedule with a combination of office and remote work 1099 Independent Contractor Schedule may vary based on business needs, with some fl exibility required for client communication and time-sensitive matters
Compensation:
Up to $30 per hour, based on experience and qualifications A strong communicator Dependable and responsive Comfortable juggling multiple priorities Discreet and trustworthy Able to work independently while knowing when to ask for direction
Pay:
$25.00 - $30.00 per hour Expected hours: 15.0 - 20.0 per week
