This is a full-time, hybrid position based in Boston, MA. The role requires four days on-site per week (Monday-Thursday), with remote work on Fridays. This is a unique opportunity to join Wayfair's Design and Construction organization and play an impactful role supporting Wayfair's growing retail real estate portfolio. The Senior Associate will be responsible for supporting the financial tracking and contract administration across the team's spend categories including services contracts, capital expenditures, and owner procured items. They will also drive key operating initiatives and transaction process improvements needed to support 50+% growth in leased property volume over the next five years. The ideal candidate is highly analytical and self-motivated with an understanding of budgeting and contract law. They are highly organized with a desire to create process efficiencies related to common goals.
What You'll Do:
- Own the contract creation, submission and recording for all Real Estate associated expenses including owner procured items, capital expenditures and third party spend.
- Create a process for contract change management, working with Design and Construction Managers.
- Lead the department-wide implementation and day-to-day operation of the Cost Management platform for all retail NSO projects.
- Set up new projects, establish and maintain standardized Cost Codes, maintain an updated vendor database, and standardize budget management workflows for Design and Construction Managers.
- Report on budget and contract data (commitment tracking, paid to date, pending spend).
- Act as a key member of the Real Estate team driving the operational initiatives and providing contract support to the broader Real Estate team and cross functional teams.
- Drive continuous improvements in Real Estate processes, systems and tools, and documentation to maximize efficiency.
- Special projects as required (ad-hoc analysis, report creation, process optimization, preparing presentation material, etc.).
- Liaison with cross functional teams in Legal, Finance, Accounting and Operations.
- Provide daily operational support to Design and Construction Managers across the full project lifecycle. Including managing key specialty vendors and traveling to site during key project stages.
- Maintain clean, standardized project directories, keeping closeout packages, warranties, O&M manuals, and inspection sign-offs systematically archived and accessible. What You Need
- Bachelor's degree, plus 2+ years of experience in contract administration, corporate real estate development, or commercial project coordination.
- Strong analytical and quantitative skills that put you at ease with financial data and accounting concepts.
- Strong cross-functional communication skills and ability to effectively convey insights from analyses to senior leaders.
- Experience working within large datasets and resourcefulness in obtaining data when clean and/or complete information is not available.
- Ability to drive complex projects to completion using effective project management, communication, and influence.
- Excellent organization skills, strong attention to detail, and ability to prioritize and multitask.
- Results driven and able to perform well in a fast-moving environment and against tight deadlines.
- Strong Microsoft Office suite (Excel is a must) and financial reporting skills.
