Who We're Looking For You might already work in real estate or title. Or you might come from insurance, a law office, banking, or a busy office, and have a strong interest in real estate. Either way, you're detail-oriented, organized, and dependable, and you want to grow a career in a rewarding field. What You'll Do Client & Partner Communication Answer incoming calls and emails from buyers, sellers, real estate agents, lenders, and attorneys promptly and professionally Give clear, accurate status updates on files and answer general title and closing-process questions, escalating to Senior Processors or attorneys when needed Keep all parties informed throughout the transaction so there are no surprises at the closing table Schedule closings and coordinate times, locations, and signing arrangements (in-office, mobile, or remote) with all parties File Preparation & Processing Support Open new orders and enter transaction details accurately into our title software platform Help Senior Processors prepare files for closing: Order title searches, tax certificates, HOA documents, and surveys Request mortgage payoffs and lien releases Gather required documents from agents, lenders, and clients Track outstanding items and deadlines on multiple files at once, following up until each item is received Check documents for accuracy and consistency: names, legal descriptions, dates, dollar amounts, and signatures Help review settlement statements and closing figures, flagging anything that doesn't match Closings Coordinate real estate closings and, as you gain training, conduct them Walk clients through closing documents in a warm, professional, easy-to-understand way Follow wire fraud prevention and identity verification procedures on every transaction Post-Closing Review signed closing packages for completeness and accuracy: signatures, initials, notarizations, and dates Help with disbursement support, final title policy preparation, and delivery of trailing documents Scan, index, and organize files in our digital system so every file is complete and audit-ready Office Support Keep shared calendars, trackers, and files organized and up to date Handle general administrative tasks that keep the office running smoothly Contribute ideas that improve our processes and client experience What You Bring Experience 1+ year of experience in real estate, title, escrow, mortgage, insurance, legal, or a similar detail-heavy office role Title or real estate closing experience is a strong plus but not required A real interest in real estate and a desire to build a career in the title industry Comfort with computers, email, and learning new software; Microsoft Office or Google Workspace experience preferred A Tennessee Notary Public commission is a plus, or willingness and ability to get one Abilities & Attributes Detail-oriented and accurate: You catch the small errors others miss, like a misspelled name or a transposed number, because in real estate one small mistake can delay a closing.
