Job Description

Real Estate Operations & Administrative Assistant Location:
Alvarado, Texas - 100%
In-Person Schedule:
Monday-Friday, 9:00 AM-5:00
PM Compensation:
$17/hour - $23/hour, may adjust depending on related experience
Mileage:
Reimbursed for required business travel to properties; normal commuting mileage is not reimbursed

About The Role I am looking for a highly organized, dependable, detail-oriented person to work directly alongside me as a Real Estate Operations & Administrative Assistant. This is not a sales position, and you do not need to have a real estate license. The primary purpose of this role is to keep the back end of the business running consistently while I focus on clients, negotiations, sales, and the day-to-day challenges that come with real estate. I need someone who can be the steady drumbeat behind the business: paperwork gets completed, listings get entered correctly, social media goes out, deadlines are tracked, properties are checked, documents are collected, and important details do not fall through the cracks. You will work directly with me and will be my primary support person. Because we are a small and growing business, this is not a position where you will do the exact same task every day. You will have the opportunity to learn multiple sides of real estate, business operations, marketing, and real estate investing. What You'll Be Doing Responsibilities will include: Managing my calendar and helping organize my email Preparing and organizing real estate documents and transaction files Assisting with transaction coordination from contract through closing Entering and maintaining property listings Assisting with brokerage and transaction compliance Collecting documents and information from clients Communicating professionally with clients, lenders, title companies, vendors, and other parties involved in transactions Putting together lists of properties for buyers, including traditional homes and raw land Performing initial property and land due diligence Traveling to properties throughout the DFW area when needed Walking homes and investment properties to identify items that need attention before they are ready for sale Completing blue-tape and property-condition walkthroughs Helping prepare homes and listings to be market-ready Editing and posting social media content Editing short-form videos and real estate reels Posting content to Facebook, Instagram, TikTok, and other platforms Creating and organizing marketing materials in Canva Helping with sphere marketing, mailers, and other marketing Occasionally answering basic incoming questions about properties Using AI tools such as ChatGPT to improve efficiency, research information, and complete administrative tasks Researching problems and helping identify solutions instead of allowing every small issue to become a bottleneck Taking on additional administrative and operational responsibilities as the business grows What I'm Looking For Experience is helpful, but character, work ethic, organization, and the ability to learn quickly matter more to me than having a perfect résumé.

Extremely organized Highly detail-oriented Dependable and punctual Professional in person, over the phone, through text, and through email Personable and comfortable communicating with different types of people Humble and coachable Able to receive feedback and immediately apply it Comfortable learning new software and systems Able to work independently once properly trained Comfortable researching an issue and trying to solve it before immediately asking for help Able to keep multiple projects moving without letting details fall through the cracks Comfortable working at a good pace without sacrificing accuracy Willing to take ownership of responsibilities instead of simply waiting for the next instruction Interested in finding ways to make processes more efficient and improve how things are done I believe strongly that if you run into a problem, you should not simply bring me the problem. I want someone willing to think through potential solutions, research the issue, and recommend what they believe the best next step is. You will never be expected to know everything. Asking questions while you are learning is encouraged. However, the goal is to learn, document what you learn, and become increasingly independent over time. What Will NOT Work In This Position This probably will not be a good fit if you: Frequently arrive late or struggle with reliability Need the same instructions repeated multiple times Regularly miss small details Work slowly Become easily overwhelmed when several things need to be handled Need constant supervision to stay productive Are uncomfortable taking initiative or researching answers Struggle to communicate professionally Are looking for a job where you can simply complete one repetitive task all day Are more interested in workplace gossip or excessive socializing than getting work done The environment is friendly, but I take professionalism and the quality of our work seriously. Training You are not expected to walk in already knowing every part of real estate. During approximately the first two weeks, you will spend significant time working alongside and shadowing me to understand how the business operates. Part of that process will include helping me audit how I spend my time. Together, we will identify responsibilities that can be transferred to you. You will begin taking ownership of areas such as social media and administrative responsibilities relatively quickly and will progressively take over more transaction, listing, compliance, and operational responsibilities as you become comfortable with them. The objective is for your role and level of process ownership to grow substantially as you learn the business fundamentals. Technology You'll Use You should be comfortable with technology and willing to learn new systems quickly. Some of the tools you may use include: Gmail and Google Workspace Google Docs Google Sheets Google Forms Google Drive Canva Facebook Instagram TikTok Edits CapCut ChatGPT and other AI tools CRM software MLS systems ZipForm or similar real estate contract software SkySlope or similar real estate back office software Other real estate and marketing platforms You do not need experience with every program listed above. Being technologically comfortable and able to learn quickly is more important.
Requirements Applicants must:
Have a valid driver's license Have reliable transportation Be comfortable driving to properties throughout the DFW area when necessary Be comfortable walking homes, land, and investment properties Be able and willing to occasionally work outside in normal Texas weather conditions, including hot and cold temperatures Have strong written and verbal communication skills Be comfortable using computers and learning new technology Be dependable, organized, and professional Be able to provide professional or personal references A real estate license is not required . Previous real estate experience is not required . College education is not required . Opportunity For Growth Ideally I want someone who can grow with the business. As your responsibilities, skill level, and contribution increase, there can be opportunities for increased compensation and responsibility. For someone interested in making real estate a long-term career, there may also eventually be an opportunity to obtain a real estate license and transition into sales. That is absolutely not required. Someone who loves the operations side of the business can continue growing within an administrative or operational position as the company expands. For someone who eventually wants to dramatically increase their earning potential through real estate sales, this position can also provide an opportunity to learn the business before making the jump into a commission-based career.
