As we continue to expand, we are seeking an experienced Commercial Real Estate Transaction Coordinator to support the acquisition, leasing, renewal, relocation, and management of our growing commercial real estate portfolio. This position plays a critical role in coordinating commercial real estate transactions from site selection through lease execution while working closely with landlords, commercial brokers, attorneys, developers, contractors, property managers, and executive leadership. Role:
The Commercial Real Estate Transaction Coordinator will oversee and coordinate the administrative and transactional aspects of a large commercial retail portfolio. The successful candidate will ensure transactions progress efficiently, deadlines are met, documentation is accurate, and communication remains seamless among all parties involved. This role requires exceptional organizational skills, knowledge of commercial leasing practices, and the ability to manage multiple complex transactions simultaneously.
Key Responsibilities:
Commercial Lease Transactions Coordinate commercial lease negotiations, renewals, amendments, assignments, terminations, relocations, and new site acquisitions. Track transactions from Letter of Intent (LOI) through lease execution, possession, and store opening. Review commercial lease documents for completeness and coordinate revisions with attorneys and brokers. Maintain lease abstracts and critical lease information. Monitor rent commencement dates, renewal options, expiration dates, tenant improvement deadlines, and other critical lease obligations. Portfolio Management Assist in managing a portfolio of 300+ commercial retail locations across multiple states. Maintain accurate lease records, transaction files, and commercial property databases. Monitor lease compliance and ensure important dates are communicated proactively. Coordinate site relocations, expansions, closures, and remodel projects. Prepare portfolio reports, occupancy reports, lease status updates, and executive summaries. Transaction Coordination Serve as the primary liaison between landlords, commercial real estate brokers, attorneys, developers, title companies, architects, contractors, and internal departments. Coordinate document execution and obtain necessary corporate approvals. Ensure all transaction milestones and project timelines are met. Schedule meetings, coordinate due diligence activities, and follow up on outstanding action items. Qualifications Bachelor's degree in Business Administration, Real Estate, Finance, Legal Studies, or a related field preferred. 3+ years of experience in commercial real estate transaction coordination, lease administration, portfolio management, or commercial property operations. Experience managing transactions involving multi-site retail portfolios. Excellent organizational, analytical, and project management skills. Ability to prioritize multiple transactions while meeting deadlines. Advanced Microsoft Excel, Word, Outlook, and PowerPoint skills. Experience with lease administration software, document management systems, or commercial real estate platforms is preferred. Strong communication, negotiation, and relationship-building skills. Bilingual (English/Spanish) is preferred.
