Job Description

About the Role We are a growing estate planning, probate, and elder law practice focused on helping individuals and families prepare for and navigate life's transitions. We are a collaborative team where everyone plays an important role in delivering exceptional client service. This is a place for someone who enjoys taking ownership of their responsibilities, values accuracy, and appreciates the variety and teamwork that comes with working in a small law firm. This is a full-time, in-office position based in our Kenosha office. At its core, this is a legal assistant and administrative support role. You will play a central role in keeping our client matters, schedules, communications, and office operations organized and moving forward while helping ensure our clients receive excellent service.

If you have worked in a solo or small firm and appreciated the variety, pace, and responsibility that comes with it, you will likely find this to be a good fit. On a typical day, you will be answering phones, greeting clients, managing the calendar, coordinating files, keeping the office stocked and running smoothly, and supporting the attorney with day-to-day administrative and legal support work. We are looking for someone with three or more years of legal assistant, receptionist, or administrative experience in a law firm, who presents professionally and warmly with clients, and brings a practical, "figure it out and get it done" approach to their work. Estate planning, probate, or elder law experience is a huge plus, and so is a background that includes bookkeeping or other office administration skills. While this position is primarily focused on client service, administration, and legal support responsibilities, there is opportunity for growth into more substantive paralegal and case management work as skills develop and firm needs evolve. Duties & Responsibilities Client-Facing & Reception Serve as the first point of contact for clients — answering phones, greeting visitors, scheduling appointments, and ensuring every client interaction reflects our firm's caring and professional culture. Perform initial client intake and maintain warm, ongoing client relationships throughout the planning and administration process. Serve as the day-to-day liaison between clients and the attorney; communicate professionally and empathetically with clients, family members, beneficiaries, financial institutions, and other parties. Coordinate and manage appointments, deadlines, and other important matter-related events. Maintain accurate, up-to-date client records with all notes and documents properly organized and filed. Office Management & Administration Manage office supply inventory, vendor relationships, and day-to-day facilities needs. Handle mail processing, scanning, filing, and document routing. Maintain and contribute to firm operating procedures, training materials, and knowledge resources. Participate in firm-wide efforts to maintain client relationships and promote our firm's reputation in the community. Own the day-to-day rhythm of the office — keeping schedules, supplies, and workflows organized and moving forward. Step in wherever needed — in a solo practice, the ability to handle anything that comes up is not optional, it's essential. Legal Support Assist the attorney with preparation of routine estate planning documents under supervision, including trusts, wills, and powers of attorney. Track and obtain information and documentation needed from clients and third parties, follow up on outstanding items, and help ensure matters continue moving forward in a timely manner. Organize, review, and enter client and matter information into the firm's systems and databases, maintaining complete and accurate records. Assist in preparing and organizing pooled trust (Wispact/Life Navigators) and Medicaid application paperwork. Support probate and trust administration by organizing files, tracking deadlines, and preparing routine correspondence. Communicate with Register in Probate offices and court staff as needed. Think proactively, identify opportunities for improvement, and help us build better systems and processes as the firm grows. Qualifications Required Three or more years of experience as a legal assistant, receptionist, or office administrator in a law firm setting. Exceptional attention to detail. Strong administrative and organizational skills, with the ability to manage a busy front office and juggle competing priorities while maintaining a high degree of accuracy. Warm, professional, and empathetic communication style; clients are often navigating loss or difficult family situations. Strong follow-through and matter management skills, including the ability to track outstanding tasks, obtain needed information, and ensure work is completed in a timely manner. Willingness and aptitude to learn new areas of law and new concepts quickly. Tech-savvy and comfortable learning new software quickly; at ease in a low-paper environment. Dependable, adaptable, and a self-starter who takes ownership without being asked. Highest ethical standards and strict confidentiality on all client matters. Notary public or willingness and ability to obtain within 60 days of hire. Authorization to work in the United States without sponsorship.
Preferred Huge plus:
prior experience in estate planning, probate, and/or elder law, even at an administrative or intake level.
Huge plus:
bookkeeping or other office administration skills (e.g., AP/AR, basic reconciliation, vendor or supply management). Prior experience in a solo or small law firm setting. Familiarity with trust funding and asset transfer paperwork. Familiarity with Wispact, Life Navigators, and Medicaid application processes. Knowledge of Wisconsin probate procedures. Experience tracking billable time and expenses. Associate's or bachelor's degree in a related field; paralegal certificate is a plus but not required.
Systems & Technology Required:
Microsoft Windows; Microsoft Office Suite (Word, Excel, Outlook); Adobe Acrobat Pro, Power PDF Advanced, or similar PDF software.
Preferred:
NetDocuments or similar document management platform; WealthDocx and ElderDocx drafting platforms; Microsoft Teams; Actionstep or similar practice management system; Drake Tax or similar tax preparation software; EstateVal or similar valuation tools. Compensation & Benefits Salary is dependent on experience, demonstrated skill level, and the ability to independently manage the responsibilities of the position. Retirement savings plan.
