Job Description

Real Estate Assistant - Acquisitions, Leasing & Property Management We are a growing real estate investment and property management company looking for a motivated and highly organized Real Estate Assistant to help with acquisitions, leasing, property management, and administrative work. This position is ideal for someone who is comfortable talking with people, following up consistently, staying organized, and handling a variety of responsibilities throughout the day. The role will work closely with ownership and help keep both our acquisition pipeline and existing rental portfolio operating efficiently. ResponsibilitiesAcquisitions & Appointment Setting Call, text, and follow up with property owners and seller leads Respond to incoming acquisition leads Qualify potential sellers and gather property information Determine seller motivation, timeline, and property details Schedule acquisition appointments Follow up with leads consistently Maintain and update the acquisition CRM Research properties and assist with basic comparable sales Assist with preparing offers and acquisition paperwork Help coordinate transactions from accepted offer through closing Communicate with sellers, title companies, lenders, inspectors, and other parties Track leads, appointments, offers, contracts, and closings Leasing Respond to rental inquiries Schedule and coordinate property showings Follow up with prospective tenants Pre-screen applicants Process rental applications Prepare lease paperwork Coordinate lease signings and move-ins Maintain and update rental listings Track vacant and upcoming available units Help reduce vacancy and keep units occupied Property Management Assist with tenant communication Coordinate maintenance requests Communicate with maintenance staff and contractors Follow up on open work orders Assist with lease renewals and upcoming expirations Coordinate move-ins and move-outs Maintain tenant and property records Assist with notices and property documentation Help resolve routine tenant questions and property issues Coordinate with utility companies and vendors when needed Administrative Support Answer and return phone calls Manage emails and text communication Schedule appointments and maintain calendars Organize property and transaction files Update spreadsheets and reports Maintain CRM and property management records Track important deadlines Assist with paperwork and document organization Coordinate with tenants, sellers, lenders, contractors, vendors, and other parties Assist ownership with day-to-day tasks and special projects What We're Looking For We are looking for someone who is: Highly organized Reliable and accountable Confident and professional on the phone Comfortable making outbound calls Strong at following up Friendly and personable Detail-oriented Able to work independently Comfortable handling multiple tasks at once Able to solve problems and take initiative Comfortable working in a fast-paced environment Interested in real estate investing and property management Comfortable learning new software and systems Preferred Experience Experience in any of the following is a plus: Real estate Property management Leasing Sales Appointment setting Customer service Office or administrative work CRM systems A Wisconsin Real Estate Salesperson License is preferred but not required depending on the responsibilities assigned. Schedule This is a full-time position, primarily Monday through Friday. Some flexibility may occasionally be needed for property showings, acquisition appointments, closings, or other time-sensitive matters. Pay:
$2,000.00 - $10,000.00 per month
