Job Description

Bobcat of the Finger Lakes is seeking a highly organized, dependable, and customer-focused Rental Coordinator to join our team. This is not a management position. The Rental Coordinator serves as the central communication hub between our Rental, Service, Sales, Parts, and Trucking departments. This individual will be responsible for ensuring equipment, paperwork, deliveries, pickups, and customer communication are handled efficiently and accurately. This position is primarily office-based and involves working at the front counter, answering phones, assisting customers, coordinating deliveries, and managing rental activity in real time. Key Responsibilities Greet customers and visitors professionally and courteously Answer incoming phone calls and respond to customer inquiries promptly Coordinate equipment deliveries and pickups for rental, sales, and service departments Dispatch company drivers and schedule transportation efficiently Understand truck capacities, trailer capacities, and transportation limitations Prepare rental contracts, invoices, and supporting documentation Maintain accurate and real-time information within the dealership business system Coordinate communication between customers, drivers, sales staff, service personnel, and management Monitor rental reservations, equipment availability, and scheduling conflicts Ensure all paperwork is completed accurately and processed immediately Assist with billing, rental agreements, and customer account information Provide exceptional customer service and maintain fast response times Qualifications Prior experience in the compact equipment industry is required Strong knowledge of skid steers, compact track loaders, excavators, and hydraulic attachments/implements Understanding of equipment applications and customer needs Excellent computer skills and ability to learn dealership software systems Strong organizational and time management skills Ability to multitask and prioritize in a fast-paced environment Excellent communication and customer service skills Strong attention to detail and accuracy Ability to work effectively with all departments throughout the dealership Reliable, consistent, and dependable attendance Problem-solving mindset with the ability to make informed decisions quickly What We're Looking For The ideal candidate is: Organized Personable and friendly Professional Reliable Detail-oriented Consistent Responsive Team-oriented Capable of handling multiple priorities simultaneously
Requirements:
Experience:
2+ years of customer service, sales, equipment rental or related experience.
Education:
Associate or Bachelor's Degree Pay 26.00-33.00 This role can directly impact customer satisfaction and dealership success. Fast response times, accurate communication, and attention to detail are critical. The Rental Coordinator plays a key role in ensuring customers receive equipment when they need it and that all departments remain informed and aligned. Overtime may be required during peak business periods.
