Job Summary The Rental Coordinator reports directly to the Branch Manager and plays a vital role in the day-to-day operations of the branch. In this position, you will be responsible for coordinating and tracking vehicle pick-ups and deliveries with transporters while maintaining consistent and professional communication with customers. You will work to ensure that vehicles are moved efficiently from their point of origin to their destination within established timelines, all while providing a smooth and seamless experience for our customers. Essential Duties and Responsibilities Coordinates with carriers to meet customer requirements such as upfits or equipment and coordinate pickup or delivery Negotiates carrier/vendor rates as required Booking and coordination of transportation moves Communicates directly with transporters acquiring updates on pickup and delivery status; makes customer service and customer communications a priority Completes vehicle inspection reports, takes pictures of vehicles going on and off rent Notes damages, obvious mechanical deficiencies and cleanliness of vehicles being inspected Sends inspection report to customer prior transporting to customer PDI (Pre Delivery Inspection) making sure vehicle is delivered from the dealer in good mechanical condition, installing floor mats, antennas, license plates and removing factory plastics Maintains accurate and up-to-date records of planned, pending, and completed transportation movement Monitors and determines priority of vehicle maintenance, servicing, and repairs Establish and manage timelines related to vehicle status Create and maintain relationships with local and national vendors Direct vendor activities, ensuring vehicles are being sent to the correct vendors Review vendor work, ensuring it has been completed up to standard Participate in the delivery and pickup of vehicles when needed Other projects as directed by the branch manager Qualifications/Skills Excellent customer service, telephone and email communication skills Strong attention to detail Proficient in Microsoft Office applications Capacity to multi-task in a fast-paced work environment Effective and persuasive communications skills Performance and result driven Must be a team player Position may require some lifting (up to 50 pounds) Must pass a pre-employment background and drug screening Education and/or experience 1-2 years transportation or transportation dispatch experience, or equivalent training preferred 1-2 years of related customer service experience preferred Salesforce experience an asset Automotive / dealership experience an asset About Summit Fleet At Summit Fleet in Oklahoma City, you'll step into a fast-paced, forward-thinking environment where your ideas matter, your growth is prioritized, and your work fuels a culture of excellence.
