Full Job Description Position Summary:
The Spirit Shop Operations & General Assistant provides full-time operational and administrative support to the Spirit Shop Manager. This position assists with the daily operation of the retail store, inventory and merchandise management, order fulfillment, customer service, administrative tasks, merchandising, events and pop-up locations, and other Spirit Shop projects. The position requires a dependable, organized, and proactive individual who can follow established procedures, manage multiple priorities, and work independently after training. The Spirit Shop operates as a professional retail environment, and consistent attendance, punctuality, accuracy, productivity, and professional conduct are essential.
Primary Responsibilities:
Assist with daily Spirit Shop operations and opening/closing procedures as assigned. Receive, verify, organize, label, and stock merchandise and incoming shipments. Assist with inventory counts, inventory organization, and product documentation. Process and prepare online and departmental orders for pickup, delivery, or shipment. Provide professional customer service to students, faculty, staff, alumni, and visitors. Assist with point-of-sale transactions in accordance with established procedures. Maintain an organized, professional, and customer-ready retail environment. Assist with merchandising, product displays, signage, and restocking. Support Spirit Shop events, campus activities, and temporary pop-up store locations. Assist with basic spreadsheets, records, filing, order documentation, and other administrative tasks. Follow established procedures for handling merchandise, transactions, university property, and confidential information. Complete assigned tasks accurately and within established deadlines. Identify routine operational issues and communicate them promptly to the Spirit Shop Manager. Use slower periods productively to complete inventory, organizational, administrative, merchandising, and operational assignments. Assist with other Spirit Shop projects and operational needs as assigned by the Spirit Shop Manager.
Required Qualifications:
High school diploma or equivalent. Strong organizational and time-management skills. Dependable and punctual with consistent attendance. Ability to follow written and verbal instructions accurately. Strong attention to detail and ability to maintain accurate records. Professional communication and customer-service skills. Basic computer skills, including email, spreadsheets, and standard office applications. Ability to learn retail point-of-sale and inventory systems. Ability to prioritize multiple assignments and complete tasks with limited supervision after training. Ability to maintain confidentiality and exercise appropriate professional judgment. Ability to work effectively in a fast-paced retail and university environment.
Preferred Qualifications:
Previous experience in retail, administrative support, operations, inventory, customer service, or a related environment. Experience with inventory management or point-of-sale systems. Experience with Microsoft Excel or similar spreadsheet applications. Demonstrated ability to work independently and take initiative within established procedures. Position Expectations The successful candidate must demonstrate reliability, professionalism, accuracy, initiative, and consistent follow-through. This position is intended to provide comprehensive operational support to the Spirit Shop and is not limited to cashier or customer-service responsibilities. The employee is expected to remain productive throughout scheduled work hours and assist with operational, administrative, inventory, merchandising, and project-related responsibilities as assigned. Management Authority The Spirit Shop Manager retains responsibility and decision-making authority for matters including pricing and discounts, refunds and exchanges, purchasing commitments, vendor agreements, inventory adjustments outside established procedures, employee scheduling and performance management, and exceptions to established Spirit Shop or university policies.
