$22.00 - $24 per hour ($43,700 - $48,900 annually), non-exempt Reports to: Founder/CEO About Gratinsta Gratinsta is a Boston-based nature-inspired jewelry and accessories brand. Our pieces are handcrafted in recycled sterling silver, 18K gold vermeil, brass, and stainless steel, and sold wholesale in 750+ retail doors — museum gift shops, botanical gardens, hotel stores, and independent retailers across the country. We're a small team that runs like a tech company: systems, documentation, and clean data over guesswork. The Role This is the operations seat for the whole wholesale business. You'll own the path an order takes from the moment it lands on a partner platform to the moment it ships and the customer is invoiced — plus the inventory, product data, and inbound freight that make that path work. It's a hands-on job. Some days are screen-and-spreadsheet days; some days you're counting product, checking quality, and packing boxes. If you like owning a process end to end and making it run better than you found it, you'll do well here. What You'll Do Order management Pull new wholesale orders daily from MarketTime, Event Network, and Uncommon Goods and enter them into Shopify following our documented SOP Enter phone and email orders using our intake format Match customers correctly, apply the right tags (rep group, salesperson, platform), and capture PO number, ship/cancel dates, payment terms, and special instructions on every order Review orders for errors before they go to fulfillment Fulfillment and shipping Group unfulfilled orders into shipping batches and build the packing sheets our Jaipur production team works from Coordinate with our fulfillment locations in Boston and Austin Track inbound shipments from our factory in India, log tracking numbers, and flag delays before they become customer problems Pack and ship orders from the Somerville office when needed Inventory and product data Run inventory counts and quality checks on incoming product Keep our product master sheet accurate — SKUs, barcodes, labels, item codes Manage labeling, stickers, and packaging supplies Accounts and support Answer questions from retail buyers and sales reps by email and phone Send invoices, follow up on open items, keep account records clean What We're Looking For Required 1-3 years in operations, order management, fulfillment, customer service, or a similar role Strong Excel or Google Sheets skills — comfortable with filtering, VLOOKUP/XLOOKUP, and large product lists Excellent attention to detail; you catch the wrong PO number before it ships Clear written English and a professional email voice Able to lift up to 30 lbs and work on-site in Somerville Organized enough to run a recurring weekly rhythm without being reminded Nice to have Shopify experience (especially draft orders and B2B) Wholesale, consumer products, apparel, or jewelry background Experience with EDI or vendor portals Comfort using AI tools to speed up repetitive work — we use them daily What We Offer $22.00 - $24/hour depending on experience, Trial period 2 months at $20/hr After 2 months of trial probation period: 10 days paid time off per year, plus paid holidays A small team where your work is visible and your ideas get implemented Direct exposure to how a growing wholesale brand actually runs — buying, production, sales, and fulfillment To Apply Send your resume and a short note about a process you improved at a past job.
