Job Description

Veterinary CSR Department Manager With seven experienced doctors on staff, we are a trusted leader in pet healthcare, committed to delivering exceptional medical care to our animal companions. We're looking for an experienced, personable leader to manage our Customer Service Representative team of approximately 12-15 staff. This is a focused leadership role for someone who wants to lead and develop a team without the scope of overseeing an entire hospital. We take pride in offering compassionate, comprehensive services for pets of all kinds. Our veterinarians and support staff work closely to create a welcoming and professional environment for both pets and their owners. Please provide availability when applying.
Job Responsibilities:
Lead a close-knit CSR team of 12-15. A scope that allows for hands-on mentorship and daily involvement, rather than distant, multi-department oversight Hire, train, schedule, and mentor the CSR team; conduct performance reviews and coaching Step in to work the front desk directly when coverage is needed. Lead by example by greeting clients, answering phones, scheduling, check-in/check-out Oversee daily front-desk operations and ensure accurate handling of estimates, payments, and client records across the team Serve as the escalation point for difficult client interactions or complaints Act as the primary liaison between the CSR team, doctors, and hospital management Monitor and improve front-office workflows, scheduling efficiency, and client communication standards Track trends (call volume, no-show rates, client satisfaction, etc.) and report to hospital leadership Manage CSR staffing schedules, including ensuring coverage for evenings/weekends Maintain reception area standards and ensure compliance with hospital policies
Requirements:
Previous experience working as a CSR in a veterinary hospital is required. You'll need to be able to competently work the front desk yourself, not just oversee it Previous supervisory or management experience is required, ideally in a veterinary or medical setting Proven leadership, coaching, and conflict-resolution skills Excellent communication and interpersonal skills Strong organizational abilities with keen attention to detail Proficiency with a veterinary practice management/scheduling software A genuine love for animals and commitment to their well-being Availability for flexible hours Ability to multitask and problem-solve in a fast-paced environment
