Job Summary This position primarily supports the medical supervisor/site manager in overseeing daily medical operations, ensuring workflows are efficient and aligned with organizational standards. It assists with staff coordination, scheduling, training, and supervision of medical assistants while helping manage patient flow and care coordination. The position also assists the medical supervisor/site manager in monitoring compliance with clinical protocols, and accurate documentation practices. Additionally, it helps to oversee medical procedures, equipment functionality, and medical supplies inventory to maintain a safe and effective care environment. The role further assists in administrative and operational tasks, serving as a liaison between the medical supervisor/site manager and supporting medical staff to ensure smooth clinic operations. II. Essential Functions • Daily Operations Ø Support the medical supervisor/site manager to oversee day-to-day clinic's activities and medical operations. Ø Maintain timely, appropriate, and accurate patient chart and organizational log documentation, e.g vaccine inventory log, medication log, lab inventory log, exam room cleaning log, fridge and freezer temperature log. Ø Obtain, relay, and document timely messages received from patients, providers, and staff. Maintain open communication with all clinic staff and responds clearly and respectfully. Ø Prepare regular reports and incident reports to the medical supervisor/site manager related to the services provided at the facility. Ø Assist in providing interpretation services as needed. Ø Assure that patient flow is efficient and effective by supervising, when assigned, medical assistant duties. Ø Schedule appointment and continuous monitoring of progress for patients with special needs such as pre-operative preparation, after ER visit, discharge from hospital, etc Ø Assist in triage call log, ensure all the calls are responded in a timely manner. Ø Review supply needs periodically and coordinate ordering with supervisor. Ø Call in prescriptions to pharmacy as directed by Provider. Ø Respond to emergency situations per organizational policies and procedures and at the direction of an RN or a Provider. Ø Work with other interdisciplinary teams such as Providers, Clinical Manager, Call Center, and Front Desk in the management of patient appointments. Ø Answer and respond to inquiries from internal departments (Billing, Navigators, Referral Coordinators, etc.) Ø Assist RN to obtain the detailed information to triage patients according to protocol, and assess patients by obtaining detailed information. Coordinate same day appointments. Ø Monitor and follow up eCW patient web encounters for patient needs and questions. Ø Report the urgent results to medical providers to ensure timely follow up for urgent results. Ø Provide basic health education as directed by Provider or Registered Nurse (RN). • Staff Management and Training Ø Assist medical supervisor/site manager to manage medical staff schedule. Ø Provides support to the medical supervisor/site manager in the evaluation process where it pertains to medical assistants and their respective clinical skills, competency and quality of care. Ø Training of new staff, continuous monitoring of staff performance through observation, chart audits and feedback from providers/patients. Ø Assist medical assistants to get training from

when applicable. Ø Train medical assistants on CLIA Waiver laboratory services according to established policies and procedures. (i.e., finger-stick, random glucose, urine dipstick analysis, urine pregnancy test, rapid testing for flu, Covid, strep test, etc.) • Medical Assistance & Procedure Support Ø Assist Providers and RNs with medical procedures as directed and provide chaperonage as needed. Ø Assist the medical supervisor/site manager to handle medical assistant disputes and interpersonal issues; report to medical supervisor/site manager if needed. Ø Ensure the medical assistants complete the pre-visits and morning Huddles. Ø Perform clinical procedures within scope, including wound care, suture/staple removal, PPD reading, and injections (e.g., Prolia, Evenity, Depo-Provera, Testosterone). Ø Verify vaccines and medications using standard safety protocols (e.g., 3 checks/5 rights), adhering to organizational policies and procedures. Ø Oversee and train medical assistants on injection techniques and clinical competencies. Ø Assist medical supervisor/site manager to monitor medical assistants' bubbles, and arrange the staff to follow up the bubbles in a timely manner. Ø Provide coverage for clinical workflow when staffing shortages occur. Ø Provide mentorship to nursing students, new hires, and volunteers. • Equipment & Supplies Management Ø Assure that patient care area is clean and completely stocked before each visit. Ø Assure that all medical equipment is in working order and calibrated correctly; coordinate with medical supervisor/site manager for needed repairs per policies and procedures. Ø Monitor the PPE inventory, and submit requests to the appropriate person. Ø Coordinate the transfer of medications, vaccines, and supplies between sites as needed. Ø Ensure vaccine coordination and documentation Store the vaccines delivered by vendors and outside pharmacies, and properly document in eCW. Ø Monitor the emergency cart, and replenish the supplies when needed; Monitor the oxygen tank, inform the medical supervisor/site manager when it's below 1500 psig. Ø Monitor refrigerator/freezer temperatures twice daily and respond to out-of-range alerts using appropriate systems (e.g., Intemp). • Administrative & Program Management Ø Participate in the development and implementation of organization-wide and department-wide policies and programs. Ø Assist in crisis intervention and investigate patient grievances and complaints according to the needs of medical supervisor/site manager. Ø Assist medical supervisor/site manager to prepare morning huddles with his/her own team. Ø Bridge between medical supervisor/site manager and medical assistants. Execute policies and procedures. Ø Communicate training needs to supervisor and participate in agency wide events as required based on policies and procedures. Ø Generate the meeting agenda for individual site meetings for medical assistants Ø Approve or deny client's/patient's laboratory invoices after verifying the charges according to organization's policies and procedures. • Immunization Management Ø Receive and log incoming deliveries (medications, vaccines, VFC supplies) in eCW, CAIR, and paper logs. Ø Maintain and update Vaccine Information Statements (VIS) as needed. Ø Check vaccines inventories (eCW, CAIR, Paper Logs, Physicals) and routinely verify refrigerated vaccines comply with specified guidelines. Ø Assist medical supervisor/site manager to monitor vaccine inventory log sheet. Ø Coordinate with outreach teams for vaccine distribution and special programs (Mobile clinics, School outreach). Ø Ensure immunization follow-ups are sent in a timely manner and maintain accurate immunization records and inventory. • Quality Assurance, Compliance & Auditing Ø Ensure that medical staff is in full compliance of HIPAA and organizational policies and procedures. Ø Identifies and corrects coding/documentation errors; such as ECW claims. Ø Prepare for audits from internal and external, gather required documentation for audits, ensure the documentation are reviewed and completed. Ø Support and adhere VFC/VFA requirements, compliance with all the regulations from the VFC programs, such as complete training, proper ordering and storing, and report wastage, and transfer vaccines, etc. Ø Ensure staff follow guidelines and regulations by the Joint Commission, OSHA, HIPAA, CMS, contracted health plans, HRSA, VFC, and other applicable agencies.. Ø Monitor outcome of patient care by participating in quality improvement programs. Ø Participate in data collection and data entry for quality improvement activities. Ø Update the SDS binder annually and when needed. • Other Duties Ø Assist the medical supervisor/site manager in securing the clinic at the end of the day, ensuring all doors are closed and no personnel remain on-site. Ø Screen mails, and sort them. Ø Perform other duties as assigned. III. Organization Expectation Adhere to all HCHC's Policies and Procedures. Maintain confidentiality and respect for information regarding patients and other team members; abides by policy and procedures such as HIPAA and all other relevant policies and procedures. IV.
Education/License/Certification:
High school diploma or GED Must be a graduate of accredited school of nursing LVN program with a valid and current California license; or current California RN license. 3 years of relevant FQHC experience in same capacity in lieu of LVN requirement or 6 years in lieu of RN license BLS certified, (AHA preferred) V. Skills and Specifications Recent experience in a clinic or outpatient setting preferred. Proficiency in Microsoft Office applications preferred. Excellent written and verbal communication skill Well organized and detail oriented Comfortable in diverse settings and working with a diverse community Fluent in Bilingual English and Cantonese/Mandarin/Vietnamese/Spanish preferred. VI. Physical Requirement Must be able to complete all physical requirements of the position (including but not limited to sitting, standing, bending, stooping, squatting, and walking for extended periods) with or without a reasonable accommodation. Must be able to remain in a stationary position 50% of the time. May need to move boxes weighing up to 25 pounds across the office for various needs occasionally.

$27.00 - $33.00 per hour
