SHOP MANAGER JOB DESCRIPTION
Position Summary The Shop Manager leads Bear Contracting's equipment maintenance operation, mechanics, parts inventory, shop facilities, and equipment yards to keep company assets safe, reliable, and ready for field use. Essential Duties & Responsibilities Maintenance & Repair Management
  • Manage preventative maintenance for equipment, trucks, trailers, and support assets.
  • Review maintenance alerts and repair requests daily; prioritize work based on safety and operational impact.
  • Assign repairs to company mechanics or outside vendors.
  • Maintain annual, seasonal, and two-week maintenance plans.
  • Monitor downtime, recurring failures, repair quality, and completion status.
  • Report changes in the cost, scope, or schedule of major repairs to management. Work Orders & E360
  • Create, assign, and close work orders in E360.
  • Ensure each work order includes labor hours, repair notes, parts, receipts, and vendor costs.
  • Verify repair completion and equipment readiness before returning assets to service.
  • Keep equipment maintenance records and alerts current. Mechanics & Shop Personnel
  • Supervise mechanics and shop support personnel.
  • Review shop timecards for accuracy.
  • Establish daily work priorities and monitor productivity, workmanship, documentation, housekeeping, and safety.
  • Coordinate field service calls and provide mechanics with the parts, tools, and information needed for assigned work. Direct all in-shop and field mechanical, hydraulic, electrical, and structural repairs on heavy equipment including excavators, dozers, graders, haul trucks, rollers, pavers, cranes, and support vehicles.
  • Develop and maintain a comprehensive Preventive Maintenance (PM) schedule for the entire fleet; ensure PM intervals (50/100/250/500 hr, etc.) are met with minimal schedule impact.
  • Diagnose complex mechanical, hydraulic, and electrical failures using OEM diagnostic tools and service software (Cat ET, Cummins Insite, John Deere Service Advisor, Volvo Tech Tool, etc.).
  • Review and approve work orders for accuracy of labor hours, parts consumed, and fault descriptions before closing.
  • Coordinate warranty claims with dealers and OEM representatives; manage core returns and warranty documentation.
  • Oversee tire management, undercarriage tracking, and scheduled replacements to minimize downtime cost Parts & Inventory
  • Maintain appropriate stock levels for parts, filters, oils, grease, DEF, coolant, tires, and shop supplies.
  • Maintain a clean, organized parts room with FIFO inventory practices and accurate on-hand quantities in the ERP/fleet management system
  • Order parts and consumables for scheduled repairs and maintenance.
  • Periodically compare vendor pricing and evaluate OEM versus aftermarket part cost and service life.
  • Verify receipts and costs charged to shop work orders. Shop, Yard & Compliance
  • Enforce
OSHA, MSHA
(where applicable), and company safety standards throughout the shop at all times
  • Maintain shop housekeeping standards including oil disposal, hazmat storage, and fire suppression compliance
  • Ensure all shop lifting equipment (overhead cranes, hoists, jacks) is inspected and rated per
OSHA 29 CFR 1910.179
  • Manage proper labeling, storage, and disposal of hazardous materials per WV DEP and EPA regulations
  • Ensure DOT compliance for any over-the-road equipment including annual inspections, driver vehicle inspection reports (DVIRs), and HOS records where applicable
  • Maintain safe, clean, and organized shop and yard facilities.
  • Establish storage locations for equipment, tools, parts, and materials.
  • Conduct routine facility inspections and correct unsafe or disorganized conditions.
  • Coordinate state vehicle inspections and maintain required records and supplies.
  • Coordinate grounds maintenance, snow removal, and general facility upkeep.
  • Conduct toolbox talk and daily pre or post shift safety meetings. Budgeting & Reporting
  • Prepare weekly maintenance and equipment status reports.
  • Assist with the shop budget and periodic budget reviews.
  • Provide repair cost and equipment condition data for repair-versus-replace decisions.
  • Report back on the results of weekly repair schedule and what last-minute needs occurred. Qualifications Required
  • Minimum five years of experience in construction equipment maintenance or a comparable fleet environment.
  • Strong mechanical knowledge of heavy equipment, trucks, trailers, and support equipment.
  • Experience in supervising personnel.
  • Working knowledge of preventative maintenance, work orders, parts, and repair cost tracking.
  • Strong organizational, communication, and problem-solving skills.
  • Document and keep proper files for all equipment, small tools and supplies. Preferred
  • Driver's License (CDL).
  • Experience with E360, HCSS, Asset Tiger, or comparable fleet management software.
  • Experience managing maintenance budgets and equipment lifecycle costs.
  • Heavy civil, utility, asphalt, or highway construction experience.
  • Experienced in hiring and growing staff.
  • ASE Medium/Heavy Truck certification. (T-series or similar) OEM factory training or certifications (Caterpillar, Komatsu, John Deere, Volvo, Cummins, Allison, or equivalent) Associate's degree or vocational/trade school certificate in Diesel Technology, Heavy Equipment Mechanics, or a related field.
