05-Jun-2026 Job Summary The Temporary Operational Assistant handles the planning and execution of events and programs, including logistics, communications, and on-site support, while also assisting with specialized activities and visitor coordination. It provides comprehensive administrative and front-facing office support to faculty, staff, and visitors, including financial processing, communications management, and operational organization. Additionally, the position ensures the office remains accessible and responsive during business hours. What Your Key Responsibilities Will Be Event Planning:
Plan and coordinate events, including calendaring, room reservations, video conferencing scheduling, invitations/announcements, advertising, catering, day of setup, signage, technology support, photography, and parking arrangements, etc. to include workshops, seminars, programs, and other activities Provide planning and operational support for JWST activities and events. Coordinate visitor travel logistics and reimbursements, when applicable.
Administrative and Office Support:
Provide administrative support to faculty and program leadership as needed. Serve as the primary in-person/front desk contact for students, faculty, staff, and visitors. Assist with oversight of the program office phone line and shared email account. Support office organization and coordination of shared files, materials, and operational processes. Assist with financial and administrative processing support, including honoraria, purchase orders, payment vouchers, and related forms, as needed.
Other Duties:
Ensure the office remains open and available for students and visitors during business hours. What You Should Know This is a temporary position working in-person 4 days per week. The schedule is Monday - Thursday, 10:00 am - 3:30 pm, with a 30-minute lunch break. What We Can Offer The hourly pay range for this part-time position is $26.49 - 30.00.
