Job Description
Job Summary GM Design is seeking an organized, responsible, and detail-oriented Sales Assistant to support our sales team throughout the post-sale process. This position is ideal for someone with administrative or office experience who is comfortable managing documentation, updating computer systems, coordinating appointments, and following up on multiple projects at different stages. The Sales Assistant will help ensure that every project moves smoothly from the initial sale through completion by maintaining accurate records, monitoring project progress, communicating updates, and assisting sales representatives with daily administrative tasks. This is primarily a sales-support and project-coordination position. It might require client calling or direct calling for updates about project stages. Key Responsibilities Complete and organize documentation and paperwork after a sale is finalized. Enter and maintain accurate customer, project, and sales information in company systems. Update deals and project stages in Pipedrive or other CRM platforms. Monitor the progress of sold projects and follow up on outstanding steps. Coordinate and manage appointments for sales representatives. Confirm appointments with customers and update scheduling information as needed. Maintain organized digital and physical customer files. Track required documents, approvals, measurements, payments, installations, and other project milestones. Communicate with sales representatives, office staff, installers, and other departments regarding project updates. Follow up with customers when documents, decisions, or additional information are required. Assist sales representatives with administrative and organizational tasks. Identify missing or incomplete information and ensure it is corrected promptly. Help keep projects moving forward by monitoring deadlines and pending actions. Provide customers with professional and courteous assistance by phone, email, and in person. Perform additional office and administrative duties as assigned. Qualifications Previous administrative, office, customer service, or sales-support experience. Strong organizational and time-management skills. Excellent attention to detail and accuracy. Ability to manage multiple customers, appointments, and projects simultaneously. Comfortable working with computers, online systems, email, and digital documents. Strong written and verbal communication skills. Ability to follow established procedures and maintain accurate records. Professional, dependable, and able to work independently. Willingness to learn company processes, products, and software.
