Job Description

BIOLYPH is growing! We are seeking a team-oriented and responsive Commercial Coordinator. This position primarily provides administrative support to the Sales Team and manages day-to-day activities for the Managing Director. This 5-day-a-week, full-time position at our Chaska Facility offers competitive benefits and a culture of life-work balance. Essential Job Functions (unless otherwise specified): Provide Administrative Sales Support (80% of time dedicated to this responsibility) Assist the Sales Team by facilitating the internal activities required to lead Clients through the sales cycle. Coordinate project-related activities including document preparation, scheduling, tracking deliverables, and maintaining timelines. Monitor email inboxes of Sales leadership, raise needs, and take the initiative with handling incoming messages when appropriate. Manage and maintain Client and project information within the Customer Relationship Management (CRM) system to ensure accuracy and completeness. Coordinate meetings, calls, and Client visits, including scheduling, meeting preparation, meeting notes, and follow-up actions. Prepare Client-facing and internal-facing correspondence and sales-related documentation, including transcription, formatting, editing, proofreading, and revision. File and retrieve documents. Track progress of developmental technology projects, ensuring phase gates are met. Compile data for innovation-based projects. Support tradeshow planning and logistics. Arrange travel logistics for the Sales team. Maintain confidentiality of Client, pricing, and company information. Provide First Class Executive & Personal Support (20% of time dedicated to this responsibility) Ensure 100% confidentiality regarding personal matters; discretion and trustworthiness are paramount as tasks may be very personal in nature. Provide proactive administrative and personal support to the Managing Director by anticipating needs, managing priorities, and ensuring timely follow-through on commitments and deadlines. Plan for and remind the Managing Director of upcoming deadlines making sure he's where he needs to be, doing what he needs to be doing. Maintain Outlook calendars, including scheduling and confirming calls, appointments, and meetings. Assist Managing Director in managing of personal emails and correspondence. Prepare, organize and manage personal documents. Manage home or personal life maintenance tasks, as needed Organize personal and professional spaces as needed. Coordinate personal travel, transportation, accommodations and entertainment reservations. Assist with planning and preparation of personal events and parties. Performs thorough research when asked to investigate options. Provide light technical support (iPhone, iPad, and general PC) as needed.
Qualifications:
Experience / Education High School diploma or equivalent. Previous experience in Sales or customer-facing roles is preferred.
Other Requirements:
Excellent written and verbal communication skills. Proficiency in Outlook, Word, Excel, and Teams. Experience with Customer Relationship Management (CRM) systems preferred. Successfully manage multiple projects simultaneously. High level of discretion, professionalism, courtesy, and reliability. Handle confidential business matters appropriately. Ability to prioritize, multitask and adapt with changing priorities and workload with minimal direction. Focused urgency to drive projects to completion despite unanticipated challenges. Friendly, team-oriented individual with a strong desire to add value to the organization through their actions, words, and can-do attitude. High attention to detail. Capable of working independently and on a team. Ability to travel occasionally, e.g. to support tradeshow exhibits Ability to sit for extended periods of time. Ability to lift 10 lbs. occasionally. Ability to crouch, bend, twist and reach. Ability to push/pull 25 lbs. occasionally.
