How You will Make a Difference At Threadlock Precision, Office Manager and Business Support Specialist plays a critical role in keeping customer-facing and internal business processes moving smoothly and efficiently. By helping connect customer requirements, sales, operations, and administrative processes, you will support stronger execution, responsiveness, and overall business performance. Job Responsibilities Serve as the first point of contact for visitors, customers, vendors, and callers, including answering and directing incoming phone calls and greeting/checking in visitors. Responsible for ensuring the ITAR visitor and customer process is conducted and followed. Provide general administrative support to plant and business leaders, including correspondence, filing, document preparation, data entry, and record maintenance. Assist with reviewing incoming customer orders and purchase orders for completeness and accuracy, including part numbers, quantities, pricing, delivery requirements, and other key information. Compare customer purchase orders against quotes and related documentation to identify discrepancies or missing information. Support the quoting process by reviewing quote documentation, organizing customer information, entering or updating quote data, and assisting with follow-up as needed. Maintain and organize customer scorecards, records, order documentation, quotes, and related files. Provide basic sales support, including responding to routine customer inquiries, gathering information for the sales team, and helping coordinate customer requests. Assist with order entry and administrative processing of customer orders within applicable business systems. Help track open quotes, customer requests, and orders requiring follow-up or additional information. Communicate with internal departments to help ensure customer requirements, order information, and documentation are accurately understood and processed. Provide basic Accounts Receivable support, such as preparing or distributing invoices, maintaining records, and assisting with customer payment or invoice inquiries. Provide basic Accounts Payable support, including organizing invoices, matching supporting documentation, entering information, and routing invoices for approval. Assist with maintaining office supplies, mail, shipping documents, visitor logs, and other general office needs. Prepare spreadsheets, reports, customer documents, or other administrative materials as requested. Support special projects and other administrative, customer service, sales support, or accounting-related activities as business needs require. Basic Qualifications (required) High School Diploma or GED Minimum of three years (3) of office management, sales support, or customer account support experience in a business environment, including reviewing customer orders, customer documentation, scorecards, and internal business process coordination M.S word experience and use of various dashboards and reporting platforms. Preferred Qualifications (in addition to basic qualifications) Experience with accounts payable and receivable Experience within Aerospace and Defense. Skills and Competencies Excellent verbal and written communication skills, with the ability to work collaboratively across internal teams and with external customers and partners. Strong organizational and prioritization skills, with the ability to self-manage multiple responsibilities and follow through on commitments. Ability to manage administrative and business processes, identify gaps or bottlenecks, and help drive timely resolution. Strong attention to detail and accuracy when reviewing customer, order, quote, and business documentation. Ability to work effectively in a fast-paced environment while balancing changing priorities. Strong problem-solving skills with a practical, service-oriented approach to supporting the business.
