Job Description

We are looking for a detail-oriented Sales Assistant to support client service and administrative operations for a busy advisory team in Florham Park, New Jersey. This contract opportunity with permanent potential is ideal for someone who is highly organized, comfortable handling time-sensitive financial requests, and confident managing follow-up with accuracy. The role blends client support, calendar coordination, and process-driven account administration, requiring strong communication skills and careful documentation at every stage.
Responsibilities:
  • Process client service requests by reviewing instructions, initiating account-related transactions, and ensuring disbursements are recorded accurately in internal systems.
  • Coordinate advisor calendars by arranging client appointments, reserving meeting times carefully, and preventing scheduling conflicts.
  • Prepare and route paperwork for account updates such as new account setup and beneficiary changes, making sure documents are completed and submitted to the appropriate teams.
  • Track each request from initiation through completion, following up on outstanding items and resolving issues that may delay processing.
  • Maintain thorough and organized notes so client interactions, requests, and next steps are clearly documented.
  • Communicate with clients and internal departments to confirm details, provide updates, and support timely completion of service needs.
  • Handle inbound calls and respond to routine inquiries with professionalism while directing more complex matters to the appropriate advisor or team member.
