In this vital role, you will be the backbone of our sales operations, ensuring seamless communication between sales teams, clients, buyers internal departments and our Hong Kong office. The Sales Administration Coordinator will support the sales team by managing communication between buyers, the sourcing office, and internal teams to ensure smooth execution of business operations. This role requires strong organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced apparel environment. The candidate will play a key role in buyer meeting coordination, order follow-up, inventory tracking, and sales support. Key Responsibilities Attend buyer meetings alongside the sales team and accurately document all discussion points, action items, and follow-up requirements. Prepare and distribute detailed meeting recap notes to buyers, sourcing offices, and internal teams in a timely and professional manner. Communicate new order requirements and development requests to sourcing offices to ensure timely execution. Track open action items from meetings and follow up with all parties to ensure completion. Maintain and regularly update available inventory reports for immediate and future selling opportunities. Monitor available-to-sell inventory and communicate opportunities to buyers proactively. Follow up with buyers regarding available inventory, replenishment opportunities, and immediate stock programs. Coordinate with sourcing and production teams to ensure inventory information remains accurate and up to date. Assist sales executives with order placement follow-ups and status tracking. Maintain organized records of buyer communications, purchase orders, and inventory updates. Coordinate internally with development, production, and logistics teams to support timely order execution. Ensure all buyer requests and inquiries are responded to promptly and professionally. Prepare reports, spreadsheets, and presentations related to sales activity and inventory management. Help organize showroom samples, line sheets, and product information for buyer meetings. Support scheduling of meetings, appointments, and virtual presentations with buyers. Qualifications Previous experience in apparel sales support, sales administration, merchandising, or customer service preferred. Strong organizational and multitasking abilities. Excellent written and verbal communication skills. Proficiency in Microsoft Excel, Outlook, and other Microsoft Office applications. Ability to work in a fast-paced environment while maintaining attention to detail. Strong follow-up and problem-solving skills. Knowledge of apparel production and inventory processes is a plus.
