Job Description

Located just 15 minutes north of Santa Barbara or 20 minutes south of Buellton, California, El Capitan Canyon Resort may have the opportunity you have been seeking. Join our team working with clients who are planning a group stay at the resort. Our clientele includes a variety of market segments from school and adventure groups to corporate clients and destination weddings. We offer a luxury glamping experience on 300 acres in a stunning natural environment. Reporting to the Sales Director, the Sales Coordinator will work with group inquiries to secure various aspects of their stay on property from lodging reservations to meeting space and resort activities. Duties and Responsibilities The Sales Coordinator will assist the Sales Directors and Managers with day-to-day organizational efforts to include: Answering phones and directing incoming leads or inquiries to appropriate managers. Assist in the preparation and confirmation of client proposals and contracts. Responsible for daily/weekly reporting duties via current resort systems: working knowledge of Delphi preferred. Prepares all event documentation and coordinates with sales, resort departments and customers to ensure a consistent, high-level service. Recognizes opportunities to maximize revenue by up selling and offering enhancements. Meet and greet onsite contacts. Acts as liaison between sales and customers throughout the event process. Conduct a professional, thorough site inspection of the resort with clients, exhibiting key features and benefits of the property. Proactively identifies operational challenges associated with the events and works with the Director and customers to solve these challenges and/or develop alternative solutions. Coordinates banquet and meeting space for assigned groups. Maintains clear and consistent communication with the Banquet and Events Manger throughout the event with not only the client, but all resort guests' experience in mind. Develop and maintain effective interdepartmental communication among all departments on behalf of the Group Sales Team. Assist sales staff in promoting the resort, developing leads and securing re-bookings. Use property's computerized sales management system to manage the resorts business, including (but not limited to) generating reports, entering business, blocking space and building accounts. Perform any other job-related duties as assigned. Requirements Must possess 1+ year of direct, related administrative experience; luxury hotel sales, marketing and/or hotel operations experience is preferred. Must have strong administrative skills including (but not limited to): accurate and timely filing, proofreading and editing documents, managing multiple incoming telephone calls, faxing, mailing, emailing and ability to create various business documents. Typing skills of at least 50 words per minute. Must be able to effectively communicate both verbally and written with all levels of team members and guests in an attentive friendly, courteous and service oriented manner. Computer proficiency is required with proven abilities in MS Office, Word, Power Point, Excel; those with prior experience utilizing Delphi will be strongly favored. Maintain regular attendance in compliance with El Capitan Canyon Resort standards, as required by scheduling, which will vary according to the needs of the resort. Maintain high standards of personal appearance and grooming. Must possess superior multi-tasking skills and the ability to work well in a fast-paced environment.
