Full Job Description Conference Services & Events Coordinator Job Type:
Full‑Time, Hourly (Non‑Exempt)
Location:
La Mirada, CA Reports To:
Sales Managers & Director of Sales & Marketing We're looking for a detail‑oriented Conference Services & Events Coordinator to support the planning and execution of conferences, meetings, weddings, and special events. You'll work closely with clients and internal teams to ensure every event runs smoothly and delivers an exceptional guest experience. What You'll Do Handle incoming event inquiries (calls, emails, walk‑ins) Conduct site tours for prospective clients Prepare Banquet Event Orders (BEOs), Banquet Checks, and event diagrams Coordinate event details including dietary needs, AV, guestrooms, and special requests Work with Accounting to process deposits and payments Generate weekly and monthly event reports Lead or support pre‑ and post‑conference meetings Attend weekly BEO meetings Greet clients on event days as needed Enter final group pickup into Delphi/Salesforce Assist with resolving group‑related issues (billing, reservations, discrepancies) Provide administrative support: contracts, invoices, filing, data entry, supplies Support Sales Team with special projects What We're Looking For 2+ years hotel experience (banquets, events, or sales support preferred) 2+ years customer service experience Strong organizational and problem‑solving skills Excellent communication (written & verbal) Proficiency in Microsoft Office; Salesforce experience a plus Ability to multitask in a fast‑paced environment Able to lift up to 20 lbs and stand/sit for extended periods Schedule 8‑hour shifts Schedule may vary based on business needs
