Bid, Contracts & Business Development Coordinator Rightway Site Services, Inc. - Lake Elsinore, CA Full-Time | Office & Field Position Job Summary Rightway Site Services is seeking an experienced, organized, and proactive Bid, Contracts & Business Development Coordinator to help identify, pursue, and secure new business opportunities throughout Southern California. We are looking for someone who understands how to find bid opportunities—not simply process bids that are handed to them. The ideal candidate has experience navigating construction bid boards, government procurement portals, vendor registrations, prequalification requirements, public-sector purchasing processes, and proposal submissions. This position will manage opportunities from initial discovery through bid submission and follow-up. The Coordinator will also spend several hours as needed in the field representing Rightway at pre-bid meetings, mandatory job walks, prequalification meetings, contractor meetings, agency/vendor events, and prospective customer locations. This is an excellent position for someone with experience in construction bidding, public works procurement, proposal coordination, preconstruction, contract administration, or construction-related business development who enjoys both research and relationship building. Key ResponsibilitiesBid Opportunity Identification & Management Proactively search for public and private bid opportunities that fit Rightway's services. Monitor construction bid boards, government procurement systems, general contractor portals, and public agency websites. Navigate platforms such as PlanetBids, BuildingConnected, OpenGov, Bonfire, BidNet, Public Purchase , and similar procurement systems. Identify upcoming projects with cities, counties, school districts, water districts, municipalities, general contractors, developers, and private organizations. Maintain a calendar and pipeline of upcoming opportunities, deadlines, meetings, submissions, and contract renewals. Research upcoming projects and identify opportunities before bidding closes whenever possible. Prequalification & Vendor Registration Complete and maintain vendor registrations with public agencies, municipalities, general contractors, and purchasing departments. Prepare and submit contractor/vendor prequalification packages. Keep insurance certificates, licenses, company information, W-9s, references, safety information, and other required documentation organized and current. Identify opportunities to have Rightway added to approved, preferred, and invited bidder lists. Track prequalification renewals and vendor registration requirements. Proposal & Bid Preparation Download and review bid packages, scopes of work, specifications, addenda, insurance requirements, contract terms, deadlines, and purchasing requirements. Determine what Rightway must provide to submit a complete and compliant bid. Coordinate internally with management, operations, dispatch, and accounting to gather pricing, equipment availability, service requirements, and other information. Prepare and submit professional bid and proposal packages. Monitor addenda and changes throughout the bidding process. Ensure bids and required documents are complete and submitted before deadlines. Maintain organized records of bids, proposals, contracts, amendments, and related correspondence. Track bid results, awards, losses, and contract renewal dates. Follow up on submitted proposals and obtain feedback when appropriate. Field Representation & Business Development Represent Rightway at mandatory pre-bid meetings and job walks . Attend preconstruction, contractor, procurement, vendor, and agency meetings when appropriate. Visit prospective projects or customer locations to gather information needed for bidding. Build professional relationships with general contractors, project managers, purchasing departments, municipalities, public agencies, developers, and other potential customers. Introduce Rightway's capabilities and identify additional opportunities for services. Attend occasional industry, community, municipal, contractor, or networking events as a Rightway representative. Follow up with contacts and prospective customers after meetings and bid submissions. Contracts & Procurement Support Review contracts, purchase orders, bid requirements, and procurement documents for key requirements and deadlines. Identify insurance, compliance, reporting, prevailing-wage, or other special requirements before accepting work. Assist management with contract documentation and negotiations when necessary. Maintain accurate contract and vendor records for compliance and audit purposes. Research public-sector purchasing requirements and procurement policies as needed. Qualifications Strong organizational skills and exceptional attention to detail Ability to manage multiple bids, deadlines, meetings, and follow-ups simultaneously Comfortable researching opportunities independently Ability to read and understand bid documents, specifications, scopes of work, and contract requirements Strong written and verbal communication skills Professional and confident representing the company in meetings and in the field Strong follow-through and ability to work independently Proficiency with Microsoft Word, Excel, email, PDFs, electronic documents, and online procurement systems Experience with CRM, electronic signature, or document-management systems is a plus Valid California driver's license and reliable transportation Ability to travel locally throughout Southern California as needed Services You'll Represent Rightway provides temporary site services for construction projects, public agencies, businesses, and events, including: Portable restrooms, ADA units, flushing restrooms, handwashing stations, restroom trailers, shower trailers, temporary power, storage containers, and related temporary site services.
